AI phone answering for your business

Answering Business Service Small: How It Works for Your Company

An answering business service for a small business answers your phone when you are on a job, with a customer, or simply away from the desk. With AllDayDesk, you keep your existing business number, forward your calls to the service, and an AI receptionist answers using the business details you save. It can share information, take messages, and book new appointments on your calendar. Setup starts by choosing your business or entering its website, checking the details it found, hearing a personalized sample, and then choosing how to connect your phone. This page explains how that works for a small operation, what decisions you control, and what the service does and does not do.

Why a small business uses an answering service

In a small company, the phone usually rings while you are doing something else: under a sink, mid-appointment, or driving between jobs. Most owners answer their own phone, so a missed call often means a missed job rather than a missed message. An answering service gives your callers a real conversation instead of voicemail, at any hour you choose to forward calls.

AllDayDesk is built for exactly this situation. It answers around the clock using your saved business information, so callers hear answers about your services and hours instead of a generic greeting. Around-the-clock availability describes when the service can take calls; it is not a promise that every single call connects, since forwarding and phone networks still depend on your carrier.

If you want a broader category overview before diving into setup, our general answering service guide covers how these services work across providers.

  • You keep your public business number; callers dial it as always.
  • The receptionist answers using the business details you save, so answers match your services and hours.
  • New callers can book appointments, and you see every call, transcript, summary, and booking in your dashboard.
  • When the receptionist does not know an answer, a price, or whether a time is open, it takes a message instead of guessing.

How setup works, step by step

Setup starts with your business, not your phone. You choose your business from a list or enter its website, then check the details AllDayDesk found about your services, hours, and location. Next you hear a personalized sample of how the receptionist would sound for your business. The sample is a preview only; it does not create a real booking or contact anyone.

After you approve the details, you choose phone setup. AllDayDesk does not replace your number: you forward calls from your existing phone service to the number AllDayDesk gives you. The exact forwarding steps depend on your carrier, and some carriers handle forwarding differently than others.

For example, on Verizon mobile you activate all-call forwarding by dialing *72 plus the 10-digit destination from the phone itself, and *73 turns it off. T-Mobile uses **21*1 followed by the destination and # for unconditional forwarding, with ##21# to disable. Comcast Business and Vonage manage forwarding through their account portals, and Optimum Business Phone uses *72 from the handset. If you are unsure which product you have, check your bill or carrier support first, because codes differ between a carrier's wireless, landline, and hosted products.

  • Step 1: Choose your business or enter its website.
  • Step 2: Check the business details AllDayDesk found and correct anything wrong.
  • Step 3: Listen to a personalized sample of your receptionist.
  • Step 4: Choose phone setup and forward your number using your carrier's instructions.
  • There is no fixed setup duration to promise; the forwarding step depends on your phone service.

What the receptionist handles on a typical call

The receptionist answers with your business context and handles the routine parts of a small-business call: describing your services and hours from your saved details, taking down the caller's name, number, and reason for calling, and booking new appointments. Every call leaves a transcript, a summary, and any booking in your dashboard, so you can catch up between jobs without listening to voicemail.

Booking works through the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. If you prefer Google Calendar, an optional connection is available in Settings after you connect and authorize your Google account. The receptionist does not connect to other external calendars or industry scheduling software.

Two limits matter for planning. First, changes to existing appointments are requests passed to you, not confirmed changes; you decide whether to move a job. Second, call transfers to you are possible, but you must configure a transfer destination and rules first, and neither that you pick up nor an immediate response is guaranteed. When an answer, a price, or an opening is unknown, the receptionist takes a message rather than guessing.

  • Answers questions using your saved business information.
  • Takes messages with caller details and the reason for the call.
  • Books new appointments on your configured calendar.
  • Passes appointment-change requests to you for approval.
  • Transfers calls only when you have set a destination and rules.

Decisions you control as the owner

Because most small-business owners are their own staff, the service is designed around your judgment, not a call center's script. You decide which calls forward (all calls, or only certain conditions if your carrier supports conditional forwarding), what business details the receptionist shares, and where new bookings land.

You also decide what the receptionist should never answer on its own. Prices you have not saved, arrival windows you have not defined, and anything requiring your approval become messages you review in the dashboard. This keeps the receptionist honest: it shares what you saved and takes a message for everything else.

If you are weighing an AI receptionist against hiring a person, our comparison guide lays out the tradeoffs honestly, including where a human receptionist still makes sense.

  • Choose which calls forward and when, based on what your carrier supports.
  • Control the business details the receptionist shares with callers.
  • Pick the dashboard calendar by default, or connect Google Calendar in Settings.
  • Review transcripts, summaries, and booking requests in one place.

What an answering service does not do

Knowing the limits helps you set up the service correctly. AllDayDesk answers calls, takes messages, and books new appointments; it does not dispatch emergency services, verify insurance, give medical, legal, or financial advice, or take payments or sensitive personal details over the phone. It also does not connect to dispatch software, CRMs, health records systems, or industry scheduling tools.

Transfers are a configured feature, not a guarantee. You set the destination number and the rules for when transfers happen, and the receptionist follows them. If you want callers to reach you directly in urgent situations, configure the transfer rules to match that, and remember that pickup depends on you being reachable.

Finally, forwarding is a phone-network feature, not an AllDayDesk feature. Google Voice, for instance, explicitly does not support forwarding calls to an automated system, so a Google Voice number is not a supported forwarding source. Check what your specific phone service allows before relying on any forwarding pattern.

  • No emergency dispatch, insurance verification, or professional advice.
  • No collection of payment or sensitive medical, legal, or financial details.
  • No connections to dispatch, CRM, health records, or industry software.
  • Google Voice numbers cannot be forwarded to an automated answering system.

More questions, answered

Do I have to change my business phone number?

No. You keep your public number and forward calls to AllDayDesk using your phone service's forwarding feature. Callers dial your number exactly as before.

Can the receptionist book appointments while I am on a job?

Yes, for new appointments. It books into the built-in AllDayDesk dashboard calendar once you have configured your services and availability, or into Google Calendar if you connect and authorize it in Settings. Changes to existing appointments come to you as requests to approve.

How do I forward my calls?

It depends on your phone service. Verizon mobile uses *72 plus the destination, T-Mobile uses **21*1 plus the destination and #, and Comcast Business and Vonage manage forwarding through their portals. Check your carrier's instructions for your specific product, since codes differ between wireless, landline, and hosted services.

What happens if the receptionist does not know an answer?

It takes a message. When an answer, a price, or an available time is not in your saved business details, the receptionist collects the caller's information and the reason for the call instead of guessing.

Can I hear what my receptionist would sound like before committing?

Yes. During setup you hear a personalized sample based on your business details. The sample is a preview only and does not create a real booking.

Does the service work with my scheduling software?

The default is the built-in AllDayDesk dashboard calendar. The only external calendar supported is Google Calendar, available as an optional connection in Settings after you authorize your account. Other scheduling software is not connected.
