AI phone answering for your business
An answering service for property management companies answers your office phone when you cannot, using business details you save ahead of time. With AllDayDesk, calls are handled around the clock: you keep your existing phone number, forward calls to the service, and the receptionist answers in your company's name using your saved information about properties, office hours, and services. Callers can leave messages, and once you have configured your services and availability, new appointments can be booked on the built-in dashboard calendar. You see every call, transcript, summary, and booking in your dashboard. Setup involves choosing your business or entering its website, checking the details the service learned, hearing a personalized sample, and then choosing how to forward your phone. Existing appointment changes are passed to you as requests, not confirmed changes, and when the receptionist does not know an answer, price, or opening, it takes a message for you instead of guessing.

How it works
Choose your business or enter its website. Check the services, hours, and details callers need.
Listen to a sample for your business and check its answers. The sample does not create a real booking.
Follow the steps for your phone service. Set up booking availability and any call transfers you want to use.
Review calls, messages, and bookings in your dashboard.
Property management phones get a wide mix of calls: prospective tenants asking about units, current tenants reporting maintenance issues, owners checking in, and vendors trying to reach you. An answering service handles these calls using information you save about your business, so callers hear a consistent, professional answer in your company's name instead of an unanswered ring or a generic voicemail.
AllDayDesk answers calls around the clock using your saved business details. Most owners answer their own phone during the day, so the service is most useful when you are with a resident, showing a unit, or simply away from the phone. The receptionist answers, gathers what the caller needs, and takes a message whenever it does not know an answer, a price, or an appointment opening. It does not guess, and it does not promise things you have not authorized.
Everything the service does on a call is visible to you. The dashboard shows each call, its transcript, a summary, and any booking that was made, so you can follow up on messages and review how calls were handled.
Prospective tenant calls: the receptionist answers questions using the details you saved, such as which properties you manage and what services you offer. If someone wants to schedule a viewing and you have configured services and availability, a new appointment can be booked on the dashboard calendar. If an opening is not known, the caller is offered a message instead.
Current tenant calls: maintenance requests and other tenant issues are captured as messages with the details the caller provides. The receptionist does not perform troubleshooting and does not promise response times or dispatch anyone. Changes to existing appointments are recorded as requests for you to review, not confirmed changes.
Owner and vendor calls: callers who need you personally are offered the chance to leave a message. If you configure a transfer destination and rules, the receptionist can attempt to transfer a call to you; pickup is not guaranteed, so the caller always has the option of leaving a message. Note that the service does not connect to dispatch systems, CRM tools, or property management software, so anything that needs to reach those systems goes through you.
Setup starts by choosing your business or entering its website. AllDayDesk then builds its understanding of your company from that information. You check the details it learned, correct anything that is wrong, and fill gaps with specifics such as your services and office information.
Next, you hear a personalized sample of how the receptionist will sound answering for your business. This sample is a demonstration only; it does not create a real booking or commit you to anything. If you like what you hear, you move on to phone setup.
Phone setup means forwarding your existing number to the service, and the instructions depend on your phone provider. You keep your public number; callers dial it as always and forwarding routes the call to the receptionist. Carrier steps vary, so check the guides linked below for your provider, or contact your provider if your service is not listed.
Forwarding is done through your phone provider, not through AllDayDesk, and the exact steps depend on which service you have. Many landline and business voice products use a star code such as *72 to turn forwarding on and *73 to turn it off, but the code and the conditions differ by provider and product, so always confirm the instructions for your exact service.
Examples from provider documentation: Verizon mobile uses *72 plus the destination for all calls and *71 for unanswered calls, with *73 to disable (verizon-wireless). Optimum Business Phone uses *72, wait for dial tone, then the destination, with *73 to disable (optimum). Spectrum Business Voice manages forwarding through the SpectrumBusiness.net portal under Voice Settings or Forwarding Manager, where you choose all calls or busy/no-answer conditions (spectrum-business). AT&T Phone for Business uses *72 plus destination and # for all calls, *92 for no answer, and *90 for busy (att-business).
One important limit: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice line is not a compatible forwarding source (google-voice-routing). If your provider or product is not covered here, call your provider and ask how to forward calls to another number, either for all calls or for when you do not answer.

New appointments are booked on the built-in AllDayDesk dashboard calendar by default. This works once you have configured your services and availability, so the receptionist knows what can be booked and when. Every booking appears in the dashboard alongside the call transcript and summary.
If you prefer to work from Google Calendar, AllDayDesk supports an optional connection. In Settings, you can connect and authorize your Google account, and the service can then work with that calendar. This connection is optional and set up by you; it is not automatic, and no other calendar or scheduling software is supported.
Remember the boundary on changes: if a caller wants to move or cancel an existing appointment, the receptionist records that as a request for you to review and act on. It does not confirm changes on its own, which protects your schedule from accidental edits.
When comparing an answering service for your property management company, look past the pitch and check a few practical things. First, how does the service learn your business, and can you correct it? AllDayDesk builds from your business or website and lets you review the details before going live. Second, what happens when the service does not know something? A service that takes a message instead of guessing protects you from wrong prices and false promises to tenants.
Third, how do you see what happened? AllDayDesk shows every call, transcript, summary, and booking in the dashboard, which matters when a tenant says they called about a leak and you need the record. Fourth, what does booking look like? If you want viewings scheduled for you, confirm the calendar setup: AllDayDesk books to its built-in calendar by default, with an optional Google Calendar connection in Settings.
Finally, compare costs on the same basis. Human answering services often price differently; for example, Ruby advertises live receptionist plans starting at $245 per month, and Smith.ai uses per-call pricing for its human receptionists, both checked October 9, 2026 (ruby, smith). AllDayDesk pricing is displayed separately on this page, and human coverage and fees vary by service and plan, so compare included minutes, overage rates, and contract terms on each current quote rather than assuming one model is always cheaper.

Yes, once you have configured your services and availability, new appointments are booked on the built-in AllDayDesk dashboard calendar. If you connect and authorize Google Calendar in Settings, the service can work with that calendar instead. Changes to existing appointments are always requests for you to confirm.
The receptionist captures the details as a message for you to review in the dashboard. It does not dispatch vendors, perform troubleshooting, or promise response times. If you have configured a transfer destination and rules, it can attempt to transfer the call to you, though pickup is not guaranteed.
The receptionist answers in your company's name using your saved business details. You can hear a personalized sample during setup to hear exactly how calls will sound before you turn forwarding on. The sample is a demonstration and does not create a real booking.
No. AllDayDesk does not connect to dispatch systems, CRM tools, health records, industry software, or calendars other than the optional Google Calendar connection you set up in Settings. Anything that needs to reach your other systems goes through you.
Google explicitly does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice line cannot be forwarded to AllDayDesk. You would need a line from a phone provider that supports forwarding.
Enter your business or its website, check the details, and listen to a personalized sample call. If it sounds right for your office, choose your phone setup and start forwarding your existing number.
