The service works from the business information you save: your services, hours, and availability. When a caller wants to schedule, the receptionist checks that information, offers open times, confirms the details with the caller, and books the appointment. You never have to pick up the phone or call the customer back just to get them on the calendar.
Setup follows a simple path. You choose your business or enter its website, review the details the service pulled together, and correct anything that's off. Then you hear a personalized sample of how your receptionist will sound. The sample is a demonstration only — it doesn't create a real booking. Once you're happy with it, you choose how to connect your phone.
Everything the service does is visible to you. Each call shows up in the dashboard with a transcript, a summary, and any appointment that was made, so you can verify bookings and follow up on messages without listening to every call.
New appointments are the core job. If a caller wants to schedule something for the first time and you've configured your services and availability, the service can put it on the calendar during the call itself.
Changes to existing appointments work differently. If someone calls to move or cancel a booking they already have, the service records the request and passes it to you. It doesn't rewrite your calendar on its own — you decide whether to accept the change. This protects you from a caller reshuffling your day without your approval.
Messages fill the gap for everything else. Questions about pricing, policies, or anything you haven't saved become a message in your dashboard, so nothing falls through and nothing gets invented on the caller's behalf.
By default, new appointments go on the built-in AllDayDesk dashboard calendar. That calendar is available once you've set up your services and availability, and you can view and manage everything from the same dashboard where your calls and transcripts live.
If you'd rather work out of Google Calendar, AllDayDesk supports an optional connection. You turn it on in Settings and authorize your Google account yourself — it isn't connected automatically, and no other calendar or industry scheduling software is supported.
Either way, the booking happens during the call. The choice of calendar only affects where you see and manage the appointment afterward.
You don't need a new phone number. You keep your public number and forward calls to AllDayDesk, and callers dial you exactly as they always have. The forwarding steps depend on your phone service, so setup starts by choosing your phone setup option.
As a general picture of how carriers handle this: Verizon mobile uses *72 plus the destination for all-call forwarding, *71 for unanswered calls, and *73 to turn it off, done from the phone while in Verizon coverage. T-Mobile uses codes like **21*1 followed by the destination and # for unconditional forwarding, with ##21# to disable. Comcast Business manages forwarding through My Account or the Comcast Business App, and features depend on which services you subscribe to. Vonage Business Communications lets you enable forwarding to a phone number from its Call Forwarding settings. Your own provider's exact steps may differ, so follow the instructions for your specific service.
One important limit: Google Voice does not support forwarding calls to an automated system, so a Google Voice number can't be forwarded to AllDayDesk. If your number is with Google Voice, you'd need a different line to forward.
You can also configure transfers — for example, sending certain calls to you — by setting a destination and rules. Neither that the transfer gets picked up nor an immediate response is guaranteed, so it's worth thinking through which calls you actually want routed to you.
