AI phone answering for your business
An automated answering service is a phone system that answers your business line for you, using saved information about your business instead of a person sitting at a desk. It can greet callers, answer common questions, take messages, and book appointments based on the services and availability you set up. You keep your existing phone number by forwarding your calls to the service, and the exact forwarding steps depend on your phone carrier. AllDayDesk is an automated answering service that answers calls around the clock using your business details. You set it up by entering your business or website, checking the details it found, hearing a personalized sample, and choosing how to connect your phone. Calls, transcripts, summaries, and bookings show up in your dashboard afterward. This page explains how these services work, what they can and cannot do, and how to decide whether one fits your business.

How it works
Choose your business or enter its website. Check the services, hours, and details callers need.
Listen to a sample for your business and check its answers. The sample does not create a real booking.
Follow the steps for your phone service. Set up booking availability and any call transfers you want to use.
Review calls, messages, and bookings in your dashboard.
When a call comes in, an automated answering service picks up with a greeting and a conversation built from information you saved about your business: your services, hours, pricing, and policies. The caller talks normally, and the system responds, answers what it can, and collects the details of what it cannot.
The key difference from a plain voicemail box is that the caller gets a conversation. Instead of leaving a message into the void, they can ask questions, hear your prices, and request an appointment time. You then see what happened in a dashboard rather than replaying voicemails one by one.
It is also different from a simple phone menu. An auto attendant just routes calls with button presses. An automated answering service holds a real conversation and can complete tasks like taking a message or booking a slot.
Setup starts by choosing your business or entering its website, then checking the details the service pulled together. You hear a personalized sample of how your calls would be answered, and you choose how to connect your phone. The sample is a preview only — it does not create a real booking.
You keep your public phone number. Calls reach the service because you forward your line to it, and the forwarding instructions depend on your phone provider. For example, Verizon mobile uses *72 plus the destination number to forward all calls and *73 to turn it off, while T-Mobile uses **21*1 plus the destination for unconditional forwarding. Business landline and hosted systems often use a web portal instead, such as Spectrum Business Voice's Forwarding Manager.
Because codes and menus vary by carrier and even by product within the same carrier, check the exact instructions for your service before you dial anything. Conditional forwarding, which sends calls only when you do not answer, is a separate feature and is not supported on every line or plan.

An automated answering service works from what you saved. When a caller asks something the system knows — your hours, a listed price, what a service includes — it can answer directly. When a caller wants a new appointment, it can book one using the availability you configured.
When the answer, price, or appointment is unknown, the right move is to take a message instead of guessing. That message, along with the call transcript and a summary, lands in your dashboard so you can follow up yourself.
Changes to existing appointments work differently from new bookings. A caller asking to move or cancel an existing appointment generates a request for you to review — it is not a confirmed change until you act on it.
Transfers to you are possible, but only after you configure a destination number and rules for when transfers happen. A transfer is not guaranteed to be picked up or answered immediately, so think of transfers as one tool among several, not the whole system.
New appointments go into the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. That means you do not need any outside calendar to start booking.
If you prefer to work from Google Calendar, AllDayDesk supports an optional connection. You enable it in Settings, connect your Google account, and authorize access. It is an opt-in step — nothing connects automatically, and you choose whether to use it.
Other calendar tools and industry scheduling software are not part of the documented setup, so plan around the dashboard calendar and the optional Google Calendar connection when you decide how appointments should flow.
Start with your call patterns. If most calls are routine — hours, prices, appointment requests — an automated service handles them well because the answers come straight from your saved details. If most calls need judgment calls, negotiation, or sensitive conversations, weigh that carefully.
Compare the options honestly. Human virtual receptionist services exist too; for example, Ruby advertises plans starting at $245 per month, and Smith.ai sells human receptionist plans with per-call pricing. Human services and automated services differ in cost structure, coverage, and how they handle unusual requests, and the right choice depends on your call volume and budget rather than a universal rule.
Also consider scope. An in-house receptionist does far more than answer the phone — greeting visitors and handling office tasks — so a phone service is not a full replacement for that role. And note that around-the-clock availability describes when the service is available to take calls, not a promise that every single call connects.
Finally, check your phone service before committing. Forwarding is the bridge between your number and the service, and some lines — Google Voice, for instance — do not support forwarding to an automated system at all.

Everything the service handles shows up in your dashboard: the calls that came in, transcripts of what was said, summaries of each conversation, and any bookings made. You review them on your own schedule instead of playing phone tag.
This record is also how you tune the service. If callers keep asking something the system takes messages on, add that detail to your business information. If a message reveals a gap in your availability settings, fix it there. The dashboard is the feedback loop that makes the service match your business over time.

No. You keep your public number and forward calls to the service. The forwarding steps depend on your phone carrier, so use the instructions for your specific provider and product.
Google Calendar is supported as an optional connection. You enable it in Settings, connect your account, and authorize access. By default, new appointments go into the built-in AllDayDesk dashboard calendar.
It takes a message instead of guessing. The message, transcript, and summary appear in your dashboard so you can follow up yourself.
Changes to existing appointments are sent to you as requests. They are not confirmed changes until you review and act on them.
Google states that forwarding calls from a Google Voice number to an automated system is unsupported, so a Google Voice number is not a workable path. Use a line from a carrier that supports forwarding.
The service is available around the clock, but availability is not the same as a guarantee that every call connects. Transfers also depend on your configured destination and rules, with no guaranteed pickup.
Enter your business or website, check the details, and listen to a personalized sample of how your calls would be answered. No booking happens in the sample — it is just a preview of your own automated front desk.
