AI phone answering for your business

Automated Call Answering: What It Is and How It Works

Automated call answering means a software system, not a person, picks up your business phone when you cannot. The system greets the caller, answers questions using information you provide about your business, takes messages, and can book appointments. With AllDayDesk, you keep your existing phone number and forward your calls to the service. Setup involves choosing your business or entering its website, checking the details the system learned, hearing a personalized sample, and then choosing how to route your calls. After that, calls, transcripts, summaries, and bookings show up in your dashboard. This page explains how automated answering works, what it can and cannot do, and how to decide whether it fits your business.

What Automated Call Answering Means

When a call comes in and you are busy, on another line, or closed for the day, an automated answering system answers instead of letting it ring out. The caller hears a voice that sounds like your front desk. It can answer common questions such as your hours, services, or location, based on the business details you saved. If the caller wants an appointment, the system can book one. If the caller has a question the system cannot answer, it takes a message so you can follow up.

This is different from a plain voicemail box, which only records audio and gives the caller no answers. It is also different from a human answering service, where trained people handle calls. Automated systems run on software, so they are available around the clock, though availability does not guarantee every single call connects. If you want to see how the human option compares, our guide to the answering service model covers both approaches.

  • Greets callers with a voice modeled on your business information
  • Answers questions from the details you saved about your services and hours
  • Takes messages when an answer, price, or appointment time is unknown
  • Shows calls, transcripts, summaries, and bookings in a dashboard
  • Read this to compare automated software against human-run answering services before choosing. answering service guide

How AllDayDesk Handles Your Calls

AllDayDesk answers business calls around the clock using the business information you save. Setup starts by choosing your business or entering its website. The system pulls in details like your services and hours, you check that everything is correct, and then you hear a personalized sample so you know exactly how your calls will sound. The sample does not create a real booking, so you can listen without worrying about changes to your schedule.

After the sample, you choose your phone setup. Most owners keep their public number and forward calls to AllDayDesk, and the exact forwarding steps depend on your phone service. Once you are live, every call, transcript, summary, and booking appears in your dashboard, so you can review what happened even if you were on a job site or asleep.

New appointments go on the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. If you use Google Calendar, you can optionally connect and authorize your account in Settings. Changes to existing appointments are sent to you as requests, not confirmed changes, so you stay in control of your schedule.

  • Choose your business or enter its website to start
  • Check the learned details and hear a personalized sample
  • Keep your public number by forwarding calls to the service
  • Review calls, transcripts, summaries, and bookings in the dashboard
  • Connect Google Calendar optionally in Settings after setup
  • See how automated appointment booking works once your services and availability are configured. AI appointment booking

Forwarding Your Existing Number

You do not need a new phone number. You forward your current line to AllDayDesk, and the steps depend on who provides your phone service. Many carriers use star codes. For example, Verizon mobile uses *72 plus the destination to forward all calls and *73 to turn it off, while T-Mobile uses **21*1 followed by the destination and # for unconditional forwarding. AT&T Phone for Business uses *72, the destination, then # for all calls, and *92 for no-answer forwarding.

Not every carrier works the same way. Spectrum Business Voice manages forwarding through the SpectrumBusiness.net portal rather than star codes, and Vonage Business Communications uses a Call Forwarding setting in its dashboard. Google Voice is a special case: Google explicitly says forwarding calls from a Google Voice number to an automated system is unsupported, so a Google Voice number is not a compatible forwarding source.

Before you activate anything, identify your exact product, because instructions differ even within one carrier. Our forwarding guides walk through each major provider step by step.

  • Verizon mobile: *72 plus destination to activate, *73 to disable
  • T-Mobile: **21*1 plus destination and # to activate, ##21# to disable
  • AT&T Phone for Business: *72, destination, # for all calls; *92 for no-answer
  • Spectrum Business Voice: managed in the SpectrumBusiness.net portal
  • Google Voice numbers cannot be forwarded to an automated system

What Automated Answering Cannot Do

Honest limits matter when you are trusting a system with your phone. An automated system cannot answer questions it does not have information for. When an answer, a price, or an appointment time is unknown, AllDayDesk takes a message instead of guessing. That protects your callers from wrong information.

Call transfers to you are possible, but only after you configure a destination number and rules for when transfers happen. Even then, neither pickup nor an immediate response is guaranteed, because a transfer still depends on you being reachable. Existing appointment changes work as requests for you to approve, not automatic changes. And around-the-clock availability describes when the system can take calls, not a promise that every call connects.

AllDayDesk also does not connect to dispatch software, CRM systems, health records, or industry scheduling tools. The only external calendar supported is the optional Google Calendar connection in Settings. If you need deeper integrations today, that is a real limitation to weigh.

  • Unknown answers, prices, or times become messages, not guesses
  • Transfers require you to configure a destination and rules first
  • Appointment changes arrive as requests for you, not confirmed edits
  • No dispatch, CRM, or industry software connections; Google Calendar only, optionally

Is Automated Answering Right for Your Business?

Automated call answering tends to fit owners who handle their own phones and miss calls while working. If you run a solo trade business, a salon, or a small office, the system covers the times you cannot pick up without hiring anyone. If your calls involve complex judgment, sensitive intake, or frequent unusual requests, a human service may handle them better.

Cost is a practical decision factor. Human virtual receptionist services we checked advertise plans starting around $245 per month at Ruby, while Smith.ai uses per-call pricing for its human receptionists. AllDayDesk pricing is displayed separately on this page, and plans include a set number of minutes with a per-minute rate for overages. Compare included minutes, overage rates, and hours of coverage rather than headline prices alone.

A simple way to decide: list the five calls you miss most often. If an automated system could answer them from your business details, or take a clear message, it will probably serve you well. If most missed calls need human judgment, look at human options instead.

  • List your most common missed calls and check if saved details could answer them
  • Compare included minutes and overage rates, not just monthly price
  • Consider human services for calls needing judgment or sensitive handling
  • Remember you stay in control: changes and transfers route back to you

More questions, answered

Do I have to change my business phone number?

No. You keep your public number and forward calls to AllDayDesk. The forwarding steps depend on your phone service provider, and our carrier guides cover the major ones.

Can I hear what my callers would hear before going live?

Yes. During setup you hear a personalized sample based on your business details. The sample does not create a real booking, so it is safe to review.

Where do booked appointments go?

New appointments go on the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. You can optionally connect Google Calendar in Settings after authorizing your account.

Can the system transfer urgent calls to me?

Transfers are possible after you configure a destination number and rules for when they happen. Neither pickup nor an immediate response is guaranteed, since a transfer still depends on you being reachable.

What happens when the system does not know an answer?

It takes a message instead of guessing. You see the message, along with the call transcript and summary, in your dashboard.

Can I forward my Google Voice number to AllDayDesk?

No. Google states that forwarding calls from a Google Voice number to an automated system is unsupported, so a Google Voice number is not a compatible forwarding source.
