How AllDayDesk works, step by step

Setup starts with your business, not your phone. You choose your business from a list or enter its website, and the system builds its knowledge from that. You then check the details it learned, correct anything wrong, and hear a personalized sample of how it would answer a call for your business. The sample is a demonstration only — it doesn't create a real booking or take a real message.

Next you choose how to connect your phone. You can keep your existing public phone number and forward calls to AllDayDesk. The forwarding instructions depend on your phone service, because each carrier handles it differently. You can forward all calls, or in some cases only forward when you don't answer.

Once live, the system answers using your business information. When a caller asks something it doesn't know — an exact price, a specific appointment slot, or a question outside your saved details — it takes a message instead of guessing. You review activity in the dashboard, where calls appear with transcripts, summaries, and any bookings made.

Keeping your number with call forwarding

You don't need a new phone number. You keep the one customers already know and forward calls to AllDayDesk. How you do that depends entirely on your phone carrier or service, so check your provider's own instructions before activating anything.

Some carriers use star codes. Verizon mobile, for example, uses *72 plus the destination number for all-call forwarding and *73 to turn it off, with *71 for unanswered calls. T-Mobile uses codes like **21*1 followed by the destination for unconditional forwarding. AT&T Phone for Business uses *72 with a # key, and differs from AT&T Collaborate, which has its own separate codes. Other providers, like Spectrum Business Voice and Comcast Business, manage forwarding through an online account portal instead of codes. The exact steps always depend on which product you actually have, so identify your service first.

One important limit: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so that path won't work. If you're unsure what your carrier supports, contact them and ask whether call forwarding to an outside number is available on your plan.

Appointments and calendar connections

New appointments made by the system go into the built-in AllDayDesk dashboard calendar by default. Before the system can book anything, you need to configure your services and your availability, so it knows what can be scheduled and when.

If you already run your schedule in Google Calendar, you can optionally connect it. That's done in Settings after you connect and authorize your Google account. Google Calendar is the supported external calendar connection; other calendar tools and industry scheduling software are not part of the system.

Changes to existing appointments work differently from new bookings. When a caller wants to move or cancel an existing appointment, the system records that as a request for you to review — it doesn't confirm the change on its own. You decide and make the actual change.

Call transfers and message taking

Sometimes a caller needs a person — or asks for one. The system can transfer calls to you, but only after you configure a transfer destination and the rules for when transfers happen. Transfers aren't guaranteed to be picked up or answered immediately; that depends on whether you're available on the other end.

When the system doesn't know an answer — a price you haven't saved, a question outside your business details, or an appointment question it can't resolve — it takes a message instead of making something up. Messages, like everything else, appear in your dashboard with the call details.

This combination matters for trust. A system that guesses at prices or invents appointment times creates problems later. One that says it will pass along the question and takes down the caller's details keeps you in control of what gets promised.
