AI phone answering for your business

Business Virtual Receptionist: A Practical Guide for Any Company

A business virtual receptionist answers your company's calls without sitting in your office. Calls to your existing number are forwarded to a service that answers in your business name, takes messages, shares information you approve, and can book appointments. Some services use trained people, others use AI. This page explains how setup works, what the service can and cannot do, and how to choose.

How it works

Set up your business receptionist

01

Add your business

Choose your business or enter its website. Check the services, hours, and details callers need.

02

Hear your receptionist

Listen to a sample for your business and check its answers. The sample does not create a real booking.

03

Connect your phone

Follow the steps for your phone service. Set up booking availability and any call transfers you want to use.

Review calls, messages, and bookings in your dashboard.

What a Business Virtual Receptionist Actually Does

A virtual receptionist handles phone work that an in-office receptionist would otherwise do: greeting callers, answering basic questions, taking detailed messages, and scheduling. The difference is location. Instead of a desk in your lobby, the receptionist works from a service, and your calls reach it through call forwarding.

It helps to be clear about scope. A phone service is not a full replacement for an in-house employee. The Bureau of Labor Statistics describes receptionist work as including greeting visitors and handling office tasks in addition to phones, so compare what you actually need covered before deciding a service replaces a role.

AllDayDesk is an AI virtual receptionist for businesses. It answers calls around the clock using the business information you save, takes messages when it does not know an answer or price, and shows calls, transcripts, summaries and bookings in a dashboard. You keep your current phone number by forwarding calls to it.

  • Answers calls in your business name using your saved details
  • Takes messages when an answer, price or appointment time is unknown
  • Books new appointments once you have set up services and availability
  • Shows calls, transcripts, summaries and bookings in a dashboard
  • Does not handle emergencies, medical or legal advice, or payment collection

How Setup Works: Forwarding Your Existing Number

You do not need a new phone number. You keep your public business number and forward calls to the service. With AllDayDesk, setup starts by choosing your business or entering its website, checking the details it pulled together, hearing a personalized sample call, and then choosing your phone setup. The sample is a demonstration only and creates no real booking.

Forwarding instructions depend on your phone carrier or phone system, so check which product you actually have before following any steps. As examples from published carrier guides: Verizon mobile uses *72 plus the destination for all-call forwarding and *73 to turn it off, while Verizon business landline also uses *72 and *73 from the same line. T-Mobile uses **21*1 followed by the number and # for unconditional forwarding. Comcast Business manages forwarding through My Account or the Comcast Business App, and features depend on the services you subscribe to. Spectrum Business Voice is configured by signing in to SpectrumBusiness.net, opening Voice, choosing the number, and using Voice Settings or Forwarding Manager.

One important limit: Google Voice can forward calls to linked phone numbers, but Google states that forwarding calls from a Google Voice number to an automated system is unsupported. If your business runs on Google Voice, confirm your options before signing up for any automated answering service.

  • Identify your exact phone product first; codes differ between a carrier's wireless, landline and hosted services
  • All-call forwarding sends every call; conditional forwarding sends only busy or unanswered calls, where your carrier supports it
  • Test forwarding with a real call from another phone after activating it
  • Forwarding can be turned off with the matching disable code or portal setting whenever you want calls back

AI Receptionists vs Human Virtual Receptionists

Human virtual receptionist services, such as Ruby, Smith.ai's receptionist plans, and AnswerConnect's 24/7 live answering, staff your calls with trained people. AI receptionists, including AllDayDesk and Smith.ai's separate AI receptionist product, answer with software. Each approach has trade-offs, and the right choice depends on your call volume, budget and how complex your calls are.

Be careful when comparing prices. Published starting prices, like Ruby's advertised plans starting at $245 per month as of October 2026, are not a complete cost picture. Included minutes or calls, overage rates, coverage hours and contract terms all change the real total, so request current quotes before deciding.

  • Human services may handle nuanced or sensitive conversations more naturally
  • AI services typically cost less and are available around the clock, since answering does not depend on agent staffing
  • Ask any provider exactly what happens when the receptionist does not know an answer; taking a message is the standard safe behavior
  • Compare included usage, overage pricing, hours of coverage and cancellation terms, not just the starting price

Appointments, Messages and What Stays With You

New appointments are booked into the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. If you prefer, you can optionally connect Google Calendar in Settings after connecting and authorizing your Google account. Other calendar or scheduling software connections are not part of the service.

Changes to existing appointments work differently: the receptionist passes change requests to you rather than confirming them itself. That keeps you in control of your schedule. Transfers to you are possible, but you must configure a destination and rules first, and neither pickup nor an immediate response is guaranteed. When a caller asks something the service does not know, such as a price not in your saved information, it takes a message instead of guessing.

Everything is visible after the fact. Calls, transcripts, summaries and bookings appear in your dashboard, so you can review what was promised and follow up yourself.

  • New bookings go to the dashboard calendar by default; Google Calendar is an optional connection you authorize in Settings
  • Existing appointment changes arrive as requests for you to approve
  • Unknown answers and prices become messages, not guesses
  • Set up your services and availability before going live so bookings land correctly

How to Decide If a Virtual Receptionist Fits Your Business

Start by looking at your actual call patterns. If calls arrive when you are on a job, with a client, or after hours, and you currently let them go to voicemail, a virtual receptionist gives those callers a real conversation instead of a beep. If nearly all your calls happen at a desk where someone is free to answer, the value is smaller.

Next, decide what the service should do. Write down the ten questions callers ask most, your service list, and your availability. Any provider, AI or human, can only share what you give it. Finally, check your phone system's forwarding support before committing, since that determines how you connect.

  • List your most common caller questions and make sure they are covered in your saved business information
  • Decide whether you want all calls forwarded or only busy and unanswered ones
  • Confirm your carrier or phone system supports the forwarding type you want
  • Plan to review transcripts and messages regularly, especially in the first weeks

More questions, answered

Do I have to change my business phone number?

No. You keep your public number and forward calls to the service. The forwarding steps depend on your carrier or phone system, and you can turn forwarding off whenever you want calls ringing at your original line again.

Can it book appointments directly into my Google Calendar?

New appointments go to the built-in AllDayDesk dashboard calendar by default once you have configured services and availability. Google Calendar is an optional connection you can set up in Settings after connecting and authorizing your Google account. Other calendar or scheduling software is not supported.

What happens if a caller asks something the receptionist does not know?

It takes a message. When an answer, price or appointment time is not in your saved business information, the safe behavior is to collect the caller's details so you can follow up, rather than guessing.

Will calls be transferred to me?

Transfers are possible, but only after you configure a destination and rules for them. Neither that you will pick up nor an immediate response is guaranteed, so treat transfers as one option among messages and bookings.

Is an AI receptionist cheaper than a human one?

Often, but not automatically. Human services advertise different pricing models, such as Ruby's plans starting at $245 per month as of October 2026 or Smith.ai's per-call pricing, and the real cost depends on included usage, overages and coverage hours. Compare current quotes side by side before deciding.

Does AllDayDesk work with Google Voice?

Google states that forwarding calls from a Google Voice number to an automated system is unsupported, so a Google Voice number is not a reliable way to connect. Check what phone system your business uses before signing up.
