AI phone answering for your business

Call Attendant Software: What It Does and How an AI Attendant Works

Call attendant software answers your business phone automatically, greets the caller, and handles the call based on rules and information you set up. A traditional auto attendant plays a menu (press 1 for hours, press 2 for directions). A newer kind of attendant uses AI to actually talk with callers: it answers common questions, takes messages, and can book appointments. AllDayDesk is that second kind. It answers calls around the clock using the business information you save, and you keep your existing phone number by forwarding calls to it. Setup means choosing your business or entering its website, checking the details it found, hearing a personalized sample call, and choosing how to connect your phone. Calls, transcripts, summaries, and bookings show up in your dashboard afterward. This page explains how attendants work, what an AI attendant can and cannot do, and how to decide which kind fits your business.

What call attendant software actually does

An attendant is the voice that answers when someone calls your business. In a classic phone system, that voice is a recording: the caller hears a greeting and a menu, then presses a number to reach a department or hear information. That works for companies with departments, but a one-person or small business usually just wants the caller helped, not handed a menu.

AI call attendant software replaces the menu with a conversation. The attendant answers in your business name, uses the details you saved (services, hours, pricing you choose to share), answers questions, and takes a message when it does not know an answer, a price, or an available time. It can also book new appointments once you have configured your services and availability in the built-in dashboard calendar.

  • Greets callers with your business name and handles the call conversationally
  • Answers questions using the business information you save
  • Takes a message when an answer, price, or appointment time is unknown
  • Books new appointments on the built-in dashboard calendar by default
  • Shows calls, transcripts, summaries, and bookings in your dashboard

Auto attendant vs. AI attendant: which one fits you

The right choice depends on what happens after the greeting. If callers mainly need to be routed to a person or department, a simple auto attendant is enough. If callers need real answers when you are on a ladder, with a client, or closed, an attendant that can hold a conversation and record the details is more useful.

AllDayDesk is an AI attendant, not a menu system. It answers using your saved business information, keeps your public number through call forwarding, and logs everything in your dashboard. It is not a human service, and it does not connect to dispatch software, CRMs, health records, or industry scheduling tools. New appointments go on the built-in dashboard calendar; an optional Google Calendar connection is available in Settings after you connect and authorize your Google account. Changes to existing appointments are requests passed to you, not confirmed changes.

  • Auto attendant: fixed menus, best for routing calls between departments
  • AI attendant: conversational answers, messages, and appointment booking
  • AllDayDesk keeps your existing number; you forward calls to it
  • Google Calendar is an optional connection you authorize in Settings; nothing syncs automatically

How setup works with AllDayDesk

Setup starts by choosing your business or entering its website. AllDayDesk pulls in the public details it finds, and you check them for accuracy before anything goes out to callers. You then hear a personalized sample call so you know exactly how the attendant sounds with your information. The sample creates no real booking; it is a preview only.

Next you choose phone setup. You keep your public number by forwarding calls to AllDayDesk, and the instructions depend on your phone service. For example, Verizon mobile uses *72 plus the destination for all-call forwarding and *73 to turn it off, while T-Mobile uses **21*1 followed by the destination and # for unconditional forwarding. Carrier and product steps differ, so follow the guide for your exact service and verify forwarding with a test call from another phone.

  • Choose your business or enter its website
  • Check the business details it found
  • Hear a personalized sample call (no real booking is created)
  • Choose phone setup and forward your existing number
  • Review calls, transcripts, summaries, and bookings in the dashboard

What an AI attendant cannot do

Knowing the limits helps you set honest expectations with callers. An AI attendant is available around the clock, but availability is not a guarantee that every call connects; network and forwarding issues can still affect a call. Transfers to you require you to configure a destination and rules, and neither pickup nor an immediate response is guaranteed.

AllDayDesk does not connect to dispatch software, CRMs, health records, industry scheduling tools, or calendars other than the optional Google Calendar connection. It does not handle emergency dispatch, verify insurance, or give medical, legal, or financial advice, and it does not collect sensitive medical, legal, financial, or payment details. When it does not know something, it takes a message so you can follow up.

  • Around-the-clock availability does not guarantee every call connects
  • Transfers need a configured destination and rules; pickup is not guaranteed
  • No connections to dispatch, CRM, health records, or industry scheduling software
  • No emergency dispatch, insurance verification, or medical, legal, or financial advice
  • Unknown answers, prices, or times become messages for you

How to decide if attendant software is right for your business

Start with your call patterns. If you miss calls while working, and those callers are asking about services, pricing, or booking times, an AI attendant covers that without adding staff. If most callers just need to reach a specific person and you are almost always free to answer, you may not need attendant software at all.

Then check your phone service supports forwarding to an outside number, since that is how you keep your public number. Most owners answer their own phone, so think about when you want calls forwarded (always, or only when you cannot pick up) and whether your carrier's forwarding options match that plan. Finally, decide where bookings should land: the built-in dashboard calendar by default, or Google Calendar after connecting it in Settings.

  • List the questions callers ask most and check they are answerable from your public business info
  • Confirm your phone service supports forwarding to another number
  • Decide when to forward: all calls or only when you cannot answer
  • Choose your calendar: built-in dashboard calendar or optional Google Calendar in Settings

More questions, answered

Do I have to change my phone number?

No. You keep your public number and forward calls to AllDayDesk. The forwarding steps depend on your phone service, so use the guide for your exact carrier or product and verify with a test call.

Can the attendant book appointments on my Google Calendar?

New appointments go on the built-in AllDayDesk dashboard calendar by default, once you have configured services and availability. An optional Google Calendar connection is supported in Settings after you connect and authorize your Google account. No other calendars or scheduling tools are supported.

What happens when the attendant does not know an answer?

It takes a message. Unknown answers, prices, and appointment times are collected as messages for you, along with the caller's details, so you can follow up yourself.

Can it transfer calls to me?

Yes, but only after you configure a transfer destination and rules. Neither pickup nor an immediate response is guaranteed, so treat transfers as one option rather than a promise.

Can I forward my Google Voice number to it?

No. Google explicitly says forwarding calls from a Google Voice number to an automated system is unsupported. You would need a phone line from a carrier or phone service that supports forwarding to an outside number.

Where can I see what the attendant said to callers?

In your dashboard. Calls, transcripts, summaries, and bookings are all visible there after each call.

Hear the attendant answer for your business

Enter your business or its website, check the details, and listen to a personalized sample call. The sample creates no real booking, so you can hear exactly how your callers would be greeted before you connect anything.
