Dental Phone Answering Service

A dental phone answering service answers your practice's phone when nobody at the office can pick up, such as during lunch or after hours. What a dental phone answering service handles

Dental offices get a steady mix of calls: new patients asking about services, existing patients rescheduling, parents asking about hours, and people calling after closing. A dental phone answering service covers these calls when nobody at the practice can pick up. Most owners answer their own phone, so the service works alongside you rather than replacing a front desk.

AllDayDesk answers using the business information you save, so responses reflect your actual services, hours, and policies. When a caller asks something the service does not know, such as a price or an answer that is not on file, it takes a message instead of guessing.

  • Answers common questions about your practice using your saved business information
  • Takes detailed messages for anything it cannot answer, including pricing questions
  • Books new appointments once you have configured your services and availability
  • Treats requests to change an existing appointment as messages for you to handle, not confirmed changes
  • Calls, transcripts, summaries, and bookings are visible in your dashboard

How you keep your existing phone number

You do not need a new number. You keep your public practice number and forward calls to AllDayDesk. The forwarding instructions depend on your phone service, so you will choose your phone setup during onboarding and follow the steps for your carrier.

Forwarding comes in two broad types. All-call forwarding sends every incoming call to the service. Conditional forwarding sends calls only in certain situations, such as when the line is busy or unanswered, which lets your front desk pick up first and the service catch the rest. Not every carrier supports every type, so check what your specific service offers before choosing.

One important limit: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice line is not a compatible path to AllDayDesk.

  • All-call forwarding: every call goes to the service
  • Conditional forwarding: calls go to the service only when busy or unanswered, where your carrier supports it
  • Steps vary by carrier and product, so identify your exact phone service first
  • Google Voice numbers cannot be forwarded to an automated answering system

How setup works

Setup starts by choosing your dental practice from a business listing or entering your practice's website. AllDayDesk pulls in your public details, and you check them for accuracy before anything goes live.

Next, you hear a personalized sample of how the receptionist would sound for your practice. This sample is a preview only and does not create a real booking. Then you choose your phone setup and follow the forwarding instructions for your carrier. Once you are live, configure your services and availability so new appointment requests can be booked on the built-in AllDayDesk dashboard calendar. If you prefer Google Calendar, you can optionally connect and authorize your Google account in Settings.

  • Choose your practice or enter its website
  • Review the details it pulled in and correct anything wrong
  • Listen to a personalized sample call
  • Choose phone setup and forward your number using your carrier's steps
  • Configure services and availability so bookings can be made
  • Optionally connect Google Calendar in Settings

Appointments and messages for a dental practice

New patient appointment requests can be booked directly on the built-in AllDayDesk dashboard calendar, as long as you have entered your services and availability first. If you connect Google Calendar in Settings, bookings can work with that calendar instead.

Changes to existing appointments are different. A caller asking to move or cancel a visit generates a request for you or your team to review, not a confirmed change. This keeps control of the schedule in your hands.

Transfers are also available. You can configure a transfer destination and rules so certain callers reach a person. Pickup is not guaranteed, so transfers work best for situations where a delayed connection is acceptable. When the service does not have an answer, it simply takes a message, and you will see it in the dashboard with the transcript and summary.

  • New bookings land on the dashboard calendar by default
  • Google Calendar is an optional connection in Settings after you authorize your account
  • Existing appointment changes arrive as requests, not confirmed edits
  • Transfers require you to set a destination and rules, and pickup is not guaranteed
  • Unknown answers become messages you can review in the dashboard

Choosing between service types for your practice

Dental practices generally compare three options: an in-house receptionist, a human answering service, and an AI receptionist. Each has trade-offs, and the right choice depends on your call volume, budget, and how much of the front desk workload is phone-related.

An in-house receptionist does far more than answer the phone, including greeting patients and handling office tasks, but covers only the hours someone is physically there. A human answering service covers calls with people and can work around the clock, with pricing that varies by provider and plan. An AI receptionist like AllDayDesk answers around the clock using your saved information and books appointments on your calendar, with plan-based monthly pricing. Human virtual receptionist plans from providers like Ruby advertise starting prices around $245 per month as of October 2026, though you should verify current quotes and what each plan includes.

  • In-house staff: broadest duties, limited to office hours, salary plus benefits
  • Human answering service: people answering calls, pricing varies by provider and plan
  • AI receptionist: around-the-clock availability, dashboard transcripts and bookings, plan-based monthly pricing
  • Compare included minutes, overage rates, and hours before deciding

More questions, answered

Will callers know they reached an answering service instead of my office?

The receptionist answers using your practice's saved information and a personalized greeting you preview during setup. Callers hear a consistent, professional response built around your practice details.

Can it book appointments for existing patients?

Requests to change an existing appointment are passed to you as messages rather than confirmed changes. New appointment requests can be booked on the dashboard calendar once your services and availability are configured.

Does it work with my dental practice management software?

AllDayDesk books on its built-in dashboard calendar by default, with an optional Google Calendar connection in Settings. It does not connect to dental practice management or industry scheduling software.

What happens when a caller asks something the service does not know?

It takes a message instead of guessing. You will see the call, transcript, and summary in your dashboard so you can follow up with an accurate answer.

Do I need to change my phone number?

No. You keep your public number and forward calls to AllDayDesk using the instructions for your specific phone carrier and service.

Is the sample call a real booking?

No. The personalized sample you hear during setup is a preview of how the receptionist sounds. It does not create a real appointment.
