AI phone answering for your business

Out of Hours Answering Service: Covering Calls After You Close

An out of hours answering service takes calls that come in after your normal closing time, on weekends, and on holidays, so callers reach a helpful voice instead of a ringing phone or a plain voicemail box. AllDayDesk is an AI receptionist built for this: it answers around the clock using the business information you save, takes messages, and can book new appointments. You keep your existing phone number by forwarding calls when you are closed.

What an out of hours answering service actually does

When you close for the day, callers with real questions still call. Some want to book an appointment, some want a price, and some have an urgent problem. An out of hours answering service answers those calls on your behalf, using details about your business that you provide ahead of time.

With AllDayDesk, you choose your business or enter its website, check the details it pulled together, and hear a personalized sample of how your calls would be answered. The sample is a demonstration only and does not create a real booking. If you like what you hear, you pick a phone setup option and forward your line during the hours you want covered.

The service works from what you save. When a caller asks something the service does not know, such as a price you have not listed or an appointment question it cannot confirm, it takes a message instead of guessing. That message, with a transcript and a summary, appears in your dashboard.

  • Answers calls during the hours you choose, including nights, weekends, and holidays
  • Books new appointments once you have set up your services and availability in the dashboard calendar
  • Takes a message when an answer, price, or appointment is unknown
  • Calls show up in your dashboard with a transcript and summary
  • Keeps your existing public phone number through call forwarding

How to route after-hours calls to the service

You keep your public number. Calls reach AllDayDesk because you forward your line to it during your out of hours window, and the activation steps depend on your phone service. Most owners answer their own phone during the day, so a common pattern is to forward only when you close and turn forwarding off when you reopen.

Some carriers separate all-call forwarding from conditional forwarding, which forwards only busy or unanswered calls. Use the instructions for your exact product, because codes differ between a carrier's wireless service and its business landline products. If you are unsure which product you have, check your bill or your provider's support pages before entering any code.

Google Voice users should note that Google explicitly does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice number is not a compatible path to this service.

  • Verizon mobile: dial *72 plus the 10-digit destination to forward all calls, *71 plus the destination for unanswered calls, and *73 to turn forwarding off. Set it up from the phone while in Verizon coverage.
  • Verizon business landline: dial *72 and follow the activation instructions from the same line; *73 deactivates.
  • T-Mobile: **21*1 plus the destination and # forwards all calls; **61*1 plus the destination and # covers no-reply; ##21# and ##61# disable; ##004# resets to defaults.
  • AT&T Phone for Business: all calls use *72, destination, #; no answer uses *92, destination, #; busy uses *90, destination, #; each turns off with *73#, *93#, or *91# respectively.
  • Comcast Business: features like forwarding are managed through My Account or the Comcast Business App, and available features depend on the services you subscribe to.
  • Spectrum Business Voice: sign in to SpectrumBusiness.net, open Voice, choose your number, then Voice Settings or Forwarding Manager to enable and disable forwarding.
  • Vonage Business Communications: select Call Forwarding and enable forwarding to a phone number, then verify with an outside test call.
  • Optimum Business Phone: dial *72, wait for dial tone, dial the destination, and confirm it answers; *73 turns forwarding off. Frontier: identify your service first; Unlimited Digital Voice uses *72 then the destination after a second dial tone, with *73 to disable, and other Frontier products differ.

Deciding which hours to cover

Out of hours coverage is a supplement to your daytime answering, not a replacement for it. Most owners keep answering their own calls while open and forward only the closed hours. Think about when your callers actually try to reach you and what happens to a caller who reaches voicemail at those times.

For many service businesses, evenings and weekends are when homeowners notice problems and start searching for help. For appointment-based offices, after-hours callers often just want to book the next opening, which the service can handle directly once your services and availability are configured.

You do not need a special coverage schedule tool to start. You control coverage simply by when you turn forwarding on and off, using your carrier's forwarding controls.

  • Cover the hours when callers currently hit voicemail with no reply
  • Consider whether after-hours callers mostly want bookings, information, or a callback
  • Remember that around-the-clock availability does not guarantee every call connects, so check your dashboard for anything that needs follow-up
  • Changes to existing appointments are passed to you as requests, not confirmed changes

Comparing AI and human out of hours options

You have two broad choices for after-hours coverage: an AI receptionist like AllDayDesk, or a service staffed by human agents. Both answer calls when you cannot, but they differ in cost structure, consistency, and what they can do on a call.

Human services employ trained agents who answer in your business name. Published starting prices for some human virtual receptionist services are notably higher per month than typical AI plans, but starting prices alone are not a full comparison; you need each provider's included allowance, overage rates, hours, and contract terms from a current quote. Human receptionists also handle in-person and office duties that a phone service does not replace.

AllDayDesk is this site's own product, so weigh that when comparing. It answers around the clock from your saved business information, books new appointments, and takes messages when it does not know an answer. Transfers to you are possible, but only after you configure a transfer destination and rules, and neither pickup nor an immediate response is guaranteed. This comparison is based on documented features, not hands-on testing of competing services.

  • Human services: real people, plans often starting higher per month, terms vary by quote
  • AI receptionist: consistent answers from your saved information, lower published entry pricing, books and messages through a dashboard
  • Either way, confirm what happens on a call you cannot take, and never assume an unanswered transfer automatically produces a message
  • Compare included minutes or calls and overage pricing before deciding

Setting up out of hours coverage with AllDayDesk

Setup starts with your business details, not your phone line. Choose your business or enter its website, review the information AllDayDesk pulls together, and correct anything that is wrong or missing, such as services you offer or prices you want shared. Then hear a personalized sample of how your calls would sound.

Once you are happy with the sample, choose your phone setup option. That is where forwarding comes in: follow your carrier's instructions to send calls to AllDayDesk during your closed hours, and keep the deactivate code handy for when you reopen.

New appointments book into the built-in AllDayDesk dashboard calendar by default, after you have configured your services and availability. If you prefer, you can optionally connect Google Calendar in Settings after connecting and authorizing your Google account. Other calendar or scheduling software connections are not part of the product.

Check your dashboard regularly. Calls, transcripts, summaries, and bookings appear there, and messages taken on your behalf need your follow-up the next business day.

  • Choose your business or enter its website and verify the details
  • Listen to the personalized sample; it creates no real booking
  • Choose phone setup and forward your line for your closed hours using your carrier's steps
  • Configure services and availability so new bookings land on the right days and times
  • Optionally connect Google Calendar in Settings after authorizing your account

More questions, answered

Do I have to change my business phone number?

No. You keep your public number and forward calls to AllDayDesk during the hours you want covered. Forwarding steps depend on your phone carrier and product, so use the instructions for your exact service.

Can callers still reach me in an emergency after hours?

Transfers to you are possible, but only after you configure a transfer destination and rules. Neither pickup nor an immediate response is guaranteed, so do not rely on a transfer as an emergency path. Separately, when the service does not know an answer, price, or appointment detail on a call it is handling, it takes a message that appears in your dashboard.

Will the service book appointments while I am closed?

Yes, for new appointments, once you have configured your services and availability. New bookings go to the built-in dashboard calendar by default, with an optional Google Calendar connection available in Settings after you connect and authorize your account. Changes to existing appointments come to you as requests, not confirmed changes.

What if my phone service is not listed in the forwarding instructions?

Check your bill or provider support pages to identify your exact product, then look for that product's forwarding directions. Codes differ between wireless and business landline products, and some services, including Google Voice, do not support forwarding to an automated system at all.

Does around the clock mean every call gets answered?

No. AllDayDesk is available around the clock, but availability is not a guarantee that every call connects. Review your dashboard to see each call, its transcript, and anything that needs your follow-up.

Can the service quote prices after hours?

Only prices you have saved in your business information. When a caller asks for a price or answer the service does not have, it takes a message instead of guessing.
