What Out of Hours Call Answering Covers

Out of hours coverage is about the calls that come in when you are closed: evenings, overnight, weekends, and holidays. Instead of a caller hearing a generic voicemail box, a service answers with your business name, finds out what the caller needs, and records the details for you.

With AllDayDesk, the service answers around the clock using the information you save about your business. It can answer common questions, take a message when it does not know an answer or price, and book new appointments once you have set up your services and availability in the dashboard calendar. It can also transfer calls to you if you configure a transfer destination and rules for when transfers should happen.

This page focuses on after-hours use as a supplement to answering your own phone during the day. If you want the service handling calls at all times, see the full 24/7 answering service page instead.

  • You keep your public phone number; forwarding sends calls to the service during chosen hours
  • Callers hear answers based on your saved business details
  • New appointments go to the built-in dashboard calendar by default
  • An optional Google Calendar connection is available in Settings after you connect and authorize your account
  • Changes to existing appointments are requests for you to approve, not confirmed changes
  • Read this if you want coverage at all hours rather than only outside your opening times. 24 7 answering service

How You Turn It On: Forwarding Your Phone

You do not need a new phone number. You forward your existing line to the service, and the exact steps depend on your phone provider. Most providers use either a short code dialed from the line itself or a setting in an online account portal.

For example, Verizon mobile lines use *72 plus the 10-digit destination for all-call forwarding, *71 for unanswered calls, and *73 to turn forwarding off, set up from the phone while in Verizon coverage. T-Mobile uses codes like **21*1 followed by the destination and # for unconditional forwarding, with ##21# to disable. Comcast Business, Spectrum Business Voice, and Vonage Business Communications manage forwarding through their account portals, and the exact path depends on which product you subscribe to.

Before relying on any code, confirm it matches your exact service. A wireless code will not work on a business landline product from the same company, and some products only support forwarding through a web dashboard. Our carrier guides walk through the verified steps for each provider.

  • All-call (unconditional) forwarding sends every call, which is how full after-hours coverage is usually set up
  • Conditional forwarding (busy, no answer, or unreachable) is a separate feature and is not supported on every line or product
  • Always verify forwarding by placing a test call from another phone
  • Turn forwarding off with the matching deactivation code or portal setting when you want calls back

What Happens on an After-Hours Call

When a call comes in during your forwarded hours, the service answers using your business details and the caller explains what they need. If the question, price, or appointment availability is something the service does not know, it takes a message with the caller's name, number, and request instead of guessing.

For new appointment requests, the service books into the AllDayDesk dashboard calendar by default, once you have configured your services and availability. If you connect Google Calendar in Settings and authorize your account, that connection is supported as well. If a caller wants to change an existing appointment, that is passed to you as a request; the change is not confirmed until you handle it.

If you have set up call transfers with a destination and rules, the service can transfer a caller to you when your rules say to. A transfer depends on the call connecting, so pickup is not guaranteed.

Everything lands in your dashboard: the call record, transcript, summary, and any booking, so you can review overnight activity in the morning and call people back.

  • Known questions are answered from your saved business information
  • Unknown answers, prices, or availability become a message, not a guess
  • New bookings use the dashboard calendar, or Google Calendar if you connect it in Settings
  • Existing appointment changes are requests for you, not automatic changes
  • Transfers only happen when you configure a destination and rules

Setting Up After-Hours Coverage

Setup starts by choosing your business or entering its website. AllDayDesk checks the details it finds, you confirm or correct them, and then you hear a personalized sample of how your calls would be answered. The sample is a preview only; it does not create a real booking.

Next you choose your phone setup. This is where you pick the forwarding method that matches your provider and decide which hours to forward. Because you control forwarding from your own phone line or provider portal, you can forward only evenings and weekends, or turn it on and off as your schedule changes.

Once you are live, configure your services and availability in the dashboard so new appointments can be booked, and set up a transfer destination and rules if you want certain callers passed to you. Check the dashboard after your first covered evening to review transcripts and summaries and adjust your saved details if the answers need sharpening.

  • Enter your business or website and confirm the details found
  • Listen to the personalized sample before going live
  • Choose the forwarding method for your provider
  • Configure services and availability so bookings work
  • Review calls, transcripts, summaries, and bookings in the dashboard

Deciding What to Cover After Hours

Not every business needs the same after-hours handling. A useful way to decide is to sort your after-hours calls into three groups: emergencies that need you immediately, booking requests that can wait until morning, and questions that just need a friendly, informed answer.

If urgent calls are common, configure transfers with clear rules about when a caller should be passed to you, and make sure the destination is a phone you actually answer overnight. If most after-hours calls are booking requests, focus on getting your services and availability configured accurately so bookings land correctly. If most are questions, spend time on your saved business details so the service answers confidently and takes a message only when it truly does not know.

Also decide your forwarding pattern. All-call forwarding during closed hours gives the smoothest caller experience. Conditional forwarding (only when unanswered or busy) keeps you in control during the day but is a separate feature your line may or may not support, so check with your provider first.

  • Emergencies: set transfer rules and a reliable destination number
  • Bookings: configure services and availability in the dashboard
  • Questions: keep your saved business details current
  • Choose all-call forwarding for closed hours; verify conditional forwarding support with your provider

What Out of Hours Coverage Costs

Answering services are usually priced by a monthly plan with a set number of included minutes and a per-minute rate for extra use. AllDayDesk plan pricing is displayed separately on this page's pricing section, so check there for current numbers.

When comparing options, look past the headline price. Human-staffed services often start higher; for example, Ruby advertises live virtual receptionist plans starting at $245 per month as of October 2026, and Smith.ai uses per-call pricing for its human receptionist service. The real cost depends on included minutes or calls, overage rates, hours covered, and contract terms, so compare quotes on the same basis.

Your after-hours call volume matters too. A business that gets a handful of short evening calls will use far fewer minutes than one with long overnight conversations, so estimate your typical call length before choosing a plan tier.

  • Compare included minutes, overage rates, and covered hours, not just the base price
  • Human services and AI services are priced differently; get current quotes
  • Estimate your after-hours call count and length to pick a tier

More questions, answered

Do I need to change my business phone number?

No. You keep your public number and forward calls to the service during the hours you choose. Forwarding steps depend on your phone provider, and our carrier guides list the verified methods.

Can callers still reach me directly in an emergency?

If you configure a transfer destination and rules, the service can transfer callers to you when your rules say to. Pickup depends on the call connecting, so it is not guaranteed; when a transfer is not the right path, the service takes a message.

Will appointments appear on my Google Calendar?

New appointments go to the built-in AllDayDesk dashboard calendar by default. If you want Google Calendar, connect and authorize your account in Settings; that connection is optional and supported there.

What if the service does not know an answer or a price?

It takes a message with the caller's details and request instead of guessing. You see the message, transcript, and summary in your dashboard and can follow up.

Does the sample call book a real appointment?

No. The personalized sample is only a preview of how your calls would sound. It creates no real booking.

Can I forward only missed calls instead of all calls?

Conditional forwarding for busy or unanswered calls is a separate feature, and not every line or product supports it. Check your provider's documentation for your exact service; all-call forwarding is the more broadly supported option.
