AI phone answering for your business

Phone Booking Service: Answer Calls and Book Appointments

A phone booking service answers your business phone when you cannot, learns your services and availability, and books appointments during the call. AllDayDesk is a phone booking service that answers calls around the clock using the business information you save. Callers hear a receptionist that greets them, answers questions from your saved details, and books new appointments on a calendar you control. You keep your existing phone number by forwarding calls to AllDayDesk, and every call, transcript, summary, and booking shows up in your dashboard. Setup means choosing your business or entering its website, checking the details it pulls in, hearing a personalized sample, and then choosing how to forward your phone. This page explains how phone booking works, what decisions you make as the owner, and where the limits are, so you can judge whether it fits your business before you spend a dollar.

How a phone booking service works

A phone booking service sits between your callers and your calendar. When someone calls your business number, the call is forwarded to the service. The receptionist greets the caller, uses the business details you saved to answer questions, and books new appointments directly on a calendar.

With AllDayDesk, the flow is straightforward. You pick your business or enter its website so the service can pull in your details. You check those details and correct anything wrong. You hear a personalized sample so you know exactly how your receptionist sounds before anything goes live. Then you choose your phone setup, which usually means forwarding your existing number.

The sample call is for hearing the receptionist only. It does not create a real booking, so you can listen without worrying about test appointments appearing on your calendar.

  • Answers calls around the clock using your saved business information
  • Books new appointments on the built-in AllDayDesk dashboard calendar by default
  • Shows every call, transcript, summary, and booking in your dashboard
  • Lets you keep your current public phone number through forwarding

Calendars, availability, and appointment changes

New appointments go on the built-in AllDayDesk dashboard calendar by default, but only after you have configured your services and availability. That configuration step matters: the receptionist can only offer times you have actually opened, so an accurate service list and schedule come first.

If you already run your schedule in Google Calendar, AllDayDesk supports an optional connection. You connect and authorize your Google account in Settings, and the two calendars work together from then on. This is an optional setup, not something that happens automatically, and no other calendar or scheduling software is claimed to work here.

Changes to existing appointments work differently from new bookings. When a caller wants to move or cancel an existing appointment, the receptionist takes that as a request for you to handle. You see the request in your dashboard and decide what to do, which keeps you in control of your existing schedule.

  • Configure services and availability before the receptionist can book times
  • Built-in dashboard calendar is the default booking destination
  • Optional Google Calendar connection is set up in Settings after you authorize your account
  • Changes to existing appointments arrive as requests for you, not confirmed changes

Keeping your number: forwarding your calls

You do not need a new phone number. You keep your public number and forward calls to AllDayDesk. The exact forwarding steps depend on your phone service, because every carrier and phone system handles it differently.

Some providers use star codes. For example, Verizon mobile uses *72 plus the destination to forward all calls and *73 to turn it off, while T-Mobile uses codes like **21*1 followed by the destination for unconditional forwarding. Other providers use a web portal instead, such as Spectrum Business Voice, where you sign in and manage forwarding in the voice settings. The instructions that apply to you depend entirely on which service you have, so check your provider's own guide before dialing anything.

One important limit: Google Voice does not support forwarding calls to an automated system, so a Google Voice number cannot be forwarded to AllDayDesk. If your number is with Google Voice, you would need a different number or provider for the forwarded line.

  • Forwarding instructions depend on your specific carrier or phone system
  • Star codes, portals, and app-based controls vary by provider and product
  • Google Voice explicitly does not support forwarding to automated systems
  • Verify forwarding with a real test call from another phone after setup

What the receptionist handles and where it hands off

A phone booking service handles the calls you would otherwise miss: questions about your services, hours, and pricing from your saved details, and requests for new appointments. When a caller asks something the saved information cannot answer, such as a price or detail you have not saved, the receptionist takes a message instead of guessing.

Transfers to you are also possible, but you configure them. You set the destination number and the rules for when transfers happen. Because transfers depend on your phone being reachable, neither pickup nor an immediate response is guaranteed. A transfer is a best effort based on the rules you set, not a promise that you will answer.

Around-the-clock availability describes when the service can take calls, not a guarantee that every call connects. Network conditions and forwarding setup can still affect individual calls. What you can count on is visibility: calls, transcripts, summaries, and bookings all appear in your dashboard, so you always know what happened.

  • Answers questions from your saved business details
  • Books new appointments once services and availability are configured
  • Takes a message when an answer, price, or appointment time is unknown
  • Transfers require you to configure a destination and rules; pickup is not guaranteed

Decisions you make before going live

A phone booking service only works as well as the information and rules you give it. Before turning it on, work through a short checklist so callers get accurate answers from the first call.

First, confirm your business details. Check the information pulled from your website or business listing, since the receptionist repeats these details to callers. Fix anything outdated, especially services and pricing you want shared.

Second, set your services and availability. The receptionist can only book times that exist on your calendar, so list every bookable service with realistic durations and open the hours you actually want to work.

Third, decide your phone setup. Confirm which provider handles your number, find that provider's forwarding instructions, and plan how you will verify forwarding works. If you use Google Calendar and want appointments there, connect and authorize your Google account in Settings before your first real call. Fourth, decide when you want transfers and where they should ring, so calls never ring a phone nobody answers.

  • Verify business details the receptionist will share with callers
  • Configure every bookable service and your real availability
  • Choose forwarding based on your actual provider and product
  • Connect Google Calendar in Settings if you want that optional integration
  • Set transfer destinations and rules deliberately

Is a phone booking service right for your business?

A phone booking service fits businesses where the phone is the main way customers request work and where missed calls mean missed jobs. Solo owners and small teams who handle their own phones often benefit most, because the service covers the hours they cannot: evenings, weekends, and moments when their hands are literally full.

It is a weaker fit if your booking rules are so complex that only you can judge them, or if most of your calls need decisions only you can make. Even then, the message-taking behavior limits the damage: when the receptionist does not know an answer, it takes a message rather than inventing one.

Compare options honestly. Human answering services and in-house receptionists offer judgment and personal touch; their costs and coverage vary by service and plan. AllDayDesk is this site's own product, and this comparison is based on documented features rather than hands-on testing of any competitor. The practical test is simple: look at your recent missed calls and ask which ones a well-informed receptionist could have handled and booked.

  • Strong fit: phone-driven businesses with clear services and set hours
  • Weaker fit: calls that always need the owner's personal judgment
  • Unknown answers become messages, not guesses
  • Compare documented features, included minutes, and coverage across any service you consider

More questions, answered

Do I have to change my business phone number?

No. You keep your public number and forward calls to AllDayDesk. The forwarding steps depend on your phone provider, so follow the instructions for your specific service and test with a real call afterward.

Can I use Google Calendar with AllDayDesk?

Yes, as an optional connection. After you connect and authorize your Google account in Settings, appointments can work with your Google Calendar. By default, new appointments go on the built-in AllDayDesk dashboard calendar.

What happens if a caller asks something the receptionist does not know?

When an answer, price, or appointment time is not in your saved information, the receptionist takes a message instead of guessing. You see the message in your dashboard and follow up yourself.

Will every call be answered and transferred to me successfully?

The service is available around the clock, but that is not a guarantee that every call connects. Transfers depend on the destination and rules you configure, and neither pickup nor an immediate response is guaranteed.

Can the receptionist reschedule an existing appointment for a caller?

Changes to existing appointments are captured as requests for you, not confirmed changes. You review the request in your dashboard and make the change yourself.

How do I hear what the receptionist sounds like for my business?

During setup, after your business details are checked, you hear a personalized sample. The sample does not create a real booking, so it is safe to listen before anything goes live.

Hear your own phone booking receptionist

Enter your business, check the details, and listen to a personalized sample built from your own services and information. No real booking is made, and you can decide whether it fits before choosing your phone setup.
