How call forwarding connects your number to the service

You do not need a new phone number. You keep your public number and forward calls to AllDayDesk. The exact steps depend on your phone service, because each carrier uses its own codes or portal.

Some common examples: on Verizon mobile, dial *72 plus the 10-digit destination to forward all calls, and *73 to turn it off; *71 handles unanswered calls (verizon-wireless). On T-Mobile, **21*1 followed by the destination and # enables unconditional forwarding, with separate codes for no-reply, unreachable, and busy conditions (tmobile). On Optimum Business Phone, dial *72, wait for dial tone, then dial the destination; the destination answering confirms forwarding (optimum). Spectrum Business Voice manages forwarding through the SpectrumBusiness.net portal under Voice Settings or Forwarding Manager, where you choose all calls or busy/no-answer (spectrum-business).

Two things to check before you forward: first, identify your exact product, since codes differ between a carrier's wireless, landline, and hosted services. Second, decide whether to forward all calls or only when you cannot answer. Forwarding all calls sends everything to the receptionist; conditional forwarding rings your phone first and only passes calls you miss.

One important limit: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice line is not a compatible path (google-voice-routing). If you are unsure what your carrier supports, check their support pages or your account portal before changing settings.

Appointments, changes, and messages

Once your services and availability are configured, the receptionist can book new appointments directly on your calendar. By default that is the built-in AllDayDesk dashboard calendar. If you connect Google Calendar in Settings, bookings can use that instead. No other external calendar or industry scheduling software is connected.

Changes to existing appointments work differently. When a caller wants to move or cancel an existing appointment, the receptionist records that as a request for you to review, not as a confirmed change. You stay in control of your schedule and can approve or handle the request from your dashboard.

Messages cover everything else. If a caller asks a question you have not saved an answer for, wants a price you have not listed, or needs something outside what you configured, the receptionist takes a message with the caller's details and what they need. You see the message in your dashboard along with the transcript and summary, so you can call back with the right answer.

Transferring urgent calls to you

Sometimes a caller needs to reach you directly, such as a customer with a burst pipe who wants to talk to a person right now. AllDayDesk can transfer calls to you, but transfers only work after you configure a transfer destination and the rules for when transfers happen. Without that configuration, no transfer occurs.

A transfer is not guaranteed to connect. If you are under a house, on another call, or out of coverage, you may not pick up, and the receptionist cannot promise the caller an immediate response from you. For that reason, many owners use transfers for a limited set of situations and rely on messages for the rest.

Decide your transfer rules before you go live: which number the transfer goes to, and what kinds of calls should trigger it. Clear rules keep callers from being bounced when you cannot answer.
