AI phone answering for your business

Small Business Phone Answering

Small business phone answering means having someone or something handle your business line when you cannot, so callers reach a helpful voice instead of voicemail. AllDayDesk is an AI receptionist that answers your calls around the clock using the business details you save, takes messages, and books new appointments into a calendar you set up. You keep your existing number by forwarding calls, and you can hear a personalized sample of your receptionist before choosing your phone setup.

Review calls, messages, and bookings in your dashboard.

What small business phone answering covers

When you run a small business, the phone rings while you are on a ladder, with a customer, or after hours. Phone answering services exist so those calls still get handled. The main options are a human answering service, an in-house receptionist, or an AI receptionist like AllDayDesk.

AllDayDesk answers calls around the clock using the information you save about your business: your services, hours, pricing you choose to share, and booking rules. When a caller asks something the receptionist does not know, such as a price you have not saved or a question about an existing appointment, it takes a message so you can follow up yourself.

It is worth being clear about scope: AllDayDesk handles calls, messages, summaries and new appointment booking. It does not connect to dispatch software, CRMs, health records, industry scheduling tools, or calendars other than an optional Google Calendar connection you set up yourself in Settings.

  • Answers your business line around the clock using your saved business details
  • Takes a message whenever an answer, price or appointment detail is unknown
  • Books new appointments once you have configured services and availability
  • Shows calls, transcripts, summaries and bookings in your dashboard
  • Handles changes to existing appointments as requests for you, not confirmed changes

Comparing your answering options

There are three realistic paths for a small business, and the right one depends on your call volume, budget and how much judgment your calls need. This comparison is based on documented features from each provider's own pages, not hands-on testing.

Human answering services, such as AnswerConnect's 24/7 live answering or Ruby's virtual receptionists, put trained people on your line. Ruby advertises plans starting at $245 per month as of October 9, 2026; Smith.ai uses per-call pricing for its human receptionist service. Starting prices are not full costs, so check included minutes or calls, overage rates, hours and contract terms on a current quote.

An in-house receptionist does more than answer phones. The US Bureau of Labor Statistics describes receptionist duties that include greeting visitors and office tasks, so compare scope rather than treating a phone service as a full employee replacement.

AllDayDesk, this site's own product, is an AI receptionist. It answers around the clock, works from your saved business information, books new appointments, and shows everything in a dashboard. Around-the-clock availability describes when the service is available to take calls; it is not a promise that every single call connects.

  • Human answering service: real people, per-minute or per-call pricing, plans vary by provider
  • In-house receptionist: broad office duties, but salary and coverage limited to working hours
  • AI receptionist: answers around the clock from your saved details, books appointments, subscription-based rather than salaried
  • Ask any provider: what happens when my minutes run out, and what exactly gets booked versus messaged

How AllDayDesk works for a small business

Setup starts by choosing your type of business or entering its website. AllDayDesk checks the details it finds, and you hear a personalized sample of how your receptionist would sound with your information. The sample is a preview only; it does not create a real booking. Once you are happy with it, you choose your phone setup option.

You keep your public phone number. Calls reach AllDayDesk because you forward your line to it, and the forwarding instructions depend on who provides your phone service. For example, Verizon mobile uses *72 plus the destination for all-call forwarding and *71 for unanswered calls, while Spectrum Business Voice manages forwarding through its online portal. Always identify your exact service before using any code.

After setup, callers hear your receptionist, messages and bookings land in your dashboard, and you review transcripts and summaries whenever you like. New appointments go to the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. If you prefer, you can connect Google Calendar in Settings after authorizing your account.

  • Enter your business or website, review the details, and hear a personalized sample
  • Forward your existing number so callers reach the receptionist
  • Follow your own carrier's forwarding steps; codes and portals differ by provider
  • Review calls, transcripts, summaries and bookings in the dashboard
  • Optionally connect Google Calendar in Settings after connecting and authorizing your account

Forwarding your number: what to check first

Forwarding is the one technical step most owners need to do, and it depends entirely on your carrier and product. A code that works on one service may not exist on another, so find the exact service name on your bill or account first.

Verified examples from carrier documentation: Verizon mobile activates all-call forwarding with *72 plus the 10-digit destination and disables it with *73, done from the phone while in coverage. T-Mobile uses **21*1 followed by the destination and # for unconditional forwarding, with separate codes for no-reply, unreachable and busy conditions. AT&T Phone for Business uses *72, destination, # for all calls and *92 for no-answer forwarding. Optimum Business Phone dials *72, waits for dial tone, then the destination, with *73 to turn it off.

One important limit: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice line is not a compatible path to AllDayDesk. If your carrier is not listed here or you are unsure which product you have, contact their support and ask whether call forwarding to an outside number is supported on your plan.

Also decide whether you want all calls forwarded or only unanswered ones. All-call forwarding sends every ring to the receptionist; conditional forwarding sends calls only when you do not answer. Not every carrier or plan supports conditional forwarding, so confirm with your provider.

  • Verizon mobile: *72 plus destination for all calls, *71 for unanswered, *73 to disable
  • T-Mobile: **21*1destination# unconditional, **61*1destination# no reply, ##004# resets
  • AT&T Phone for Business: *72, destination, # all calls; *92 no answer; *90 busy
  • Optimum Business Phone: *72 then destination after dial tone; *73 disables
  • Google Voice numbers cannot forward to an automated system
  • Confirm conditional (no-answer) forwarding support with your own carrier before relying on it

What day-to-day use looks like

Once you are set up, most of your involvement is review rather than answering. Open the dashboard to see recent calls, read transcripts, check summaries, and confirm or follow up on anything the receptionist took a message about.

New appointment booking works once you have entered your services and availability. By default those appointments land in the built-in AllDayDesk dashboard calendar. If you already run your schedule in Google Calendar, you can connect it in Settings, after connecting and authorizing your Google account, and use it instead.

Transfers work differently from booking. If you want certain calls passed to you directly, you configure a transfer destination and the rules for when transfers happen. A transfer is not guaranteed to be picked up or answered immediately, so treat transfers as one tool among several rather than a promise of instant reach.

Changes to existing appointments are handled as requests: the receptionist passes the requested change to you, and you make the actual change. This keeps your calendar accurate and avoids double bookings from misheard details.

  • Review calls, transcripts and summaries in the dashboard at your own pace
  • Configure services and availability so new bookings can be made
  • Choose the built-in calendar by default or connect Google Calendar in Settings
  • Set up transfer destinations and rules yourself if you want call transfers
  • Treat appointment changes as requests you approve, not automatic edits

Deciding if this fits your business

A phone answering service is worth considering when missed calls cost you real work: quotes not returned, callers who may go elsewhere, or evenings spent returning voicemails. If most of your calls are routine, such as hours, service questions, and new appointment requests, an AI receptionist handles them well from saved details.

If your calls need human judgment, sensitive intake, or negotiation, a human service or your own attention may fit better. One option, especially for solo operators, is a mix: answer your own phone when you are available and let the receptionist cover the rest.

Before choosing any provider, write down your top five call types and check each one against what the service can actually do. Ask what happens when the receptionist does not know an answer, how messages reach you, and what the total monthly cost looks like at your call volume.

  • List your most common call types and match them to documented features
  • Solo owners: remember you are the backup, so message delivery matters most
  • Check pricing at your real call volume, including overage rates
  • Confirm calendar and booking behavior matches how you actually schedule

More questions, answered

Do I have to change my business phone number?

No. You keep your public number and forward calls to AllDayDesk. The forwarding steps depend on your phone carrier, so identify your exact service before using any code.

Can I hear what the receptionist sounds like before committing?

Yes. During setup you hear a personalized sample built from your business details. The sample is a preview only and does not create a real booking.

Does AllDayDesk connect to my scheduling software?

New appointments go to the built-in AllDayDesk dashboard calendar by default. Google Calendar is supported as an optional connection in Settings after you connect and authorize your account. Other calendars and industry scheduling software are not supported connections.

What happens when a caller asks something the receptionist does not know?

It takes a message so you can respond yourself. Unknown prices, questions about existing appointments, and anything outside your saved details become messages in your dashboard.

Can calls be transferred to me?

Yes, once you configure a transfer destination and the rules for when transfers happen. A transfer is not guaranteed to be picked up or answered immediately.

Can I forward a Google Voice number to AllDayDesk?

No. Google explicitly does not support forwarding calls from a Google Voice number to an automated system, so that path is not compatible.

Hear your own receptionist
