AI phone answering for your business

Telephone Answering Service for Restaurants

A telephone answering service for restaurants answers your phone when you cannot: during the dinner rush, after closing, or while the host stand is swamped. Instead of a caller hearing a busy signal or an unwatched voicemail, the service picks up, shares basic information about your restaurant, takes messages, and can book reservations into your calendar. With AllDayDesk, you set it up by entering your business or its website, checking the details it pulls in, and hearing a personalized sample before you connect your phone. You keep your existing number by forwarding calls to the service, and every call, transcript, summary, and booking shows up in your dashboard. This page explains how restaurant answering services work, what to compare before you buy, and how to choose the right setup for your dining room.

Why restaurants use an answering service

Restaurant phones ring at the worst times. A server is mid-order, the host is seating a party, and the caller on the line wants to know if you have a table for six at seven o'clock. If nobody picks up, that caller often just calls the next restaurant on their list. An answering service exists so the phone is covered even when every person in the building is busy.

For a restaurant, the service typically handles questions about hours and location, reservation requests, messages for the manager, and simple calls like confirming a large party. It does not cook food or seat guests, but it makes sure the call itself is handled instead of lost.

  • Covers calls during peak service when staff cannot get to the phone
  • Handles after-hours calls when the dining room is closed
  • Takes messages for the owner or manager instead of leaving them on an unwatched machine
  • Can book reservations into your calendar once services and availability are configured
  • Keeps your existing restaurant phone number, so regulars dial the same number as always

How it differs from voicemail and an auto attendant

A voicemail system records a message and waits for you to check it. An auto attendant plays a menu, such as press one for hours, press two for reservations, and then either routes the call or sends it to voicemail. Neither one actually holds a conversation with the caller.

An answering service answers in a conversation. The caller can ask a question, get an answer from the information the owner saved, or leave a message if the answer is not known. If a caller wants a reservation and the calendar is set up, the service can book it. If the caller wants something the service cannot answer, like a price for a custom cake or a special request, it takes a message for the owner rather than guessing.

The tradeoff is honesty about limits: an answering service is not a person standing in your dining room, and it will not invent answers. That is usually what owners want, since a wrong answer about hours or availability creates its own problems.

  • Voicemail: records a message, no conversation, caller may hang up
  • Auto attendant: menu of options, routes calls, still not a conversation
  • Answering service: conversational, answers from saved business info, takes messages when unsure
  • AllDayDesk shows every call, transcript, summary, and booking in the dashboard, so you can see what was said
  • If you are weighing a menu-based phone tree against a conversational service, the auto attendant guide breaks down how those systems work. auto attendant answering system

What to compare before you buy

Providers differ in who or what answers, when coverage runs, and how you pay. Human answering services staff phones with real people; some advertise around-the-clock coverage. AI receptionists like AllDayDesk answer conversationally using your saved business information and are available around the clock. Coverage hours and fees vary by service and plan, so check each provider's current details rather than assuming.

For restaurants, the practical checklist looks like this:

  • Coverage: does the service answer during your rush hours and after closing, or only certain hours?
  • Reservations: can it book into a calendar, and which calendar? AllDayDesk uses its built-in dashboard calendar by default, with an optional Google Calendar connection in Settings after you connect and authorize your account.
  • Changes to existing plans: with AllDayDesk, changes to existing appointments are requests for you to approve, not confirmed changes on their own.
  • Messages: when the service does not know an answer or a price, does it take a message instead of guessing?
  • Transfers: can urgent calls be transferred to you? With AllDayDesk you configure a destination and rules, and pickup or an immediate response is not guaranteed.
  • Cost structure: compare the monthly price, included minutes or calls, and overage rates. AllDayDesk pricing is displayed separately on the plans section of this site.
  • Setup: how do you connect your number? AllDayDesk keeps your public number by forwarding calls, with instructions that depend on your phone service.

Connecting your restaurant's phone

You do not need a new phone number. AllDayDesk works by forwarding calls from your existing restaurant number to the service, and the forwarding steps depend on who provides your phone service. Some providers use star codes you dial from the phone itself; others manage forwarding in an online account portal.

A few examples from provider documentation: Verizon mobile uses *72 plus the destination for all-call forwarding and *73 to turn it off. Comcast Business and Vonage Business Communications manage forwarding through their account tools, with features depending on the services you subscribe to. Spectrum Business Voice handles forwarding in its online portal, where you choose all calls or busy/no-answer forwarding and set the destination. Always identify your exact service and product first, because instructions differ between a carrier's wireless, landline, and hosted business products.

One important limit: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice line is not a compatible path to AllDayDesk.

  • Verizon mobile: *72 plus the 10-digit destination activates all-call forwarding; *73 disables it
  • Comcast Business: forwarding is managed through My Account or the Comcast Business App, depending on your subscribed features
  • Vonage Business Communications: select Call Forwarding and enable forwarding to a phone number
  • Spectrum Business Voice: sign in, open Voice settings for your number, and enable forwarding with your chosen condition and destination
  • Google Voice numbers cannot forward to an automated system, so this path is unsupported

Choosing the right setup for your dining room

Start by deciding which calls matter most. If missed reservation calls are the main pain point, prioritize a service that books into a calendar you actually check. AllDayDesk books new appointments into its built-in dashboard calendar once you have configured your services and availability, and optionally into Google Calendar after you connect and authorize your account in Settings.

Next, decide when you want coverage. A service available around the clock is not a guarantee that every call connects, but it does mean the phone is covered outside the hours you or your staff can pick up. Most restaurant owners answer their own phones during normal hours; the service fills the gaps during service and after closing.

Finally, think about what happens to calls the service cannot finish on its own. Unknown answers and prices become messages for you. Transfers to you require you to configure a destination and rules, and pickup is not guaranteed. If your restaurant needs a guaranteed instant handoff to a manager at all times, verify any provider's actual transfer behavior before signing up.

  • List your top call types: reservations, hours, large parties, messages for the manager
  • Configure your services and availability before relying on calendar bookings
  • Review transcripts and summaries in the dashboard to see how calls are actually handled
  • Set transfer destinations and rules if you want the option of live handoffs
  • For how automated reservation booking works once your calendar is configured, see the appointment booking page. AI appointment booking
  • If you plan to answer your own phone during slow periods and only need help at peak times, the overflow page covers that pattern. overflow answering service

More questions, answered

Do I have to change my restaurant's phone number?

No. You keep your public number and forward calls to the service. The exact forwarding steps depend on your phone service provider.

Can it take reservations?

Yes, once you have configured your services and availability. New reservations go into the built-in AllDayDesk dashboard calendar by default, or into Google Calendar if you connect and authorize your account in Settings. Changes to existing reservations are requests for you, not confirmed changes.

What happens when the service does not know an answer?

It takes a message for you instead of guessing. You can review the call, transcript, and summary in your dashboard.

Can calls be transferred to me during service?

Transfers are possible after you configure a destination and rules. Pickup or an immediate response is not guaranteed, so check how the service behaves before relying on transfers mid-rush.

Is there a free sample call before I commit?

During setup you can hear a personalized sample based on your business details. The sample is a demonstration and creates no real booking.

Does it work with my POS or reservation software?

AllDayDesk supports an optional Google Calendar connection in Settings after you connect and authorize your account. It does not connect to point-of-sale systems, other calendars, or industry scheduling software.
