What a telephone answering service does for a small business

When you run a small business, the phone rings while you are on a ladder, under a sink, or with a customer. A telephone answering service picks up those calls using information you provide about your business, so callers reach a real conversation instead of voicemail.

AllDayDesk answers calls around the clock using your saved business details. It can share known answers and prices, and book new appointments. When a caller asks something you have not provided an answer for, it takes a message instead of guessing. Changes to existing appointments are passed to you as requests, not confirmed changes, so you stay in control of your schedule.

Everything happens in one place: your dashboard shows calls, transcripts, summaries and bookings. Most owners answer their own phones during working hours, so the service mainly covers the times you cannot get to the line.

  • Answers with your business name and saved details
  • Books new appointments once you have set up services and availability in the built-in dashboard calendar
  • Takes a message when an answer, price or opening is unknown
  • Passes appointment change requests to you rather than confirming them
  • Keeps a record of every call with transcript and summary

How setup works with AllDayDesk

Setup starts by choosing your business or entering its website. AllDayDesk checks the details it finds, and you confirm or correct them. You then hear a personalized sample call so you know exactly how your business will sound. The sample is a demonstration only and creates no real booking.

Next you choose how to connect your phone. In most cases you keep your public number and forward calls to AllDayDesk. The exact forwarding instructions depend on your phone service, so check which product you actually have before entering any codes.

Once services and availability are configured in the built-in dashboard calendar, new appointments can be booked directly. If you prefer, you can optionally connect Google Calendar in Settings after connecting and authorizing your Google account.

  • Enter your business name or website and review the details
  • Hear a personalized sample call before committing
  • Keep your existing public number and forward calls
  • Configure services and availability so new bookings land on the calendar
  • Optionally connect Google Calendar in Settings with your authorization

Keeping your number: forwarding calls to the service

You do not need a new phone number. You forward your existing line to AllDayDesk, and the instructions depend entirely on your carrier and product. Two common patterns exist: forwarding all calls, and forwarding only when you do not answer. Some carriers support both, some only one, and the codes differ between a carrier's wireless, landline, and hosted business products.

Examples from published carrier guides: Verizon mobile uses *72 plus the destination for all calls and *71 for unanswered calls, with *73 to disable. T-Mobile uses **21*1, destination, # for unconditional forwarding and **61*1 for no-reply, with ## codes to disable. AT&T Phone for Business uses *72, destination, # for all calls and *92 for no answer. Spectrum Business Voice manages forwarding through the SpectrumBusiness.net portal rather than star codes. Google Voice is a special case: Google explicitly does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice line is not a supported path.

If your carrier's conditional (no-answer) forwarding is not documented for your exact product, contact their support to confirm what is available. Your alternatives are forwarding all calls during the hours you want covered, or simply letting unanswered calls go to your normal voicemail.

  • Identify your exact carrier product before using any code
  • Wireless, landline and hosted business products often use different codes
  • All-call forwarding sends every call; no-answer forwarding only catches calls you miss
  • Google Voice numbers cannot be forwarded to an automated answering system
  • Disable forwarding with the matching off code whenever you want calls back

Choosing between service types

Small businesses generally weigh three options: an AI answering service, a human virtual receptionist service, or doing nothing beyond voicemail. Each has trade-offs, and the right choice depends on your call patterns and budget.

Human services, such as Ruby, AnswerConnect, and Smith.ai's live receptionist plans, staff calls with people. Published starting prices differ: Ruby advertises plans starting at $245 per month, while Smith.ai prices its human receptionist service per call, so you need a current quote to compare real costs. Human coverage hours and fees vary by service and plan. An in-house receptionist, per Bureau of Labor Statistics role data, also covers greeting visitors and office tasks, so a phone service is not a full replacement for one.

AllDayDesk is this site's own product, an AI receptionist that answers around the clock using your saved business information, with plans and pricing displayed separately on this site. When comparing any provider, look at what happens when the service does not know an answer, how appointments are booked, and what records you get afterward. This comparison is based on documented features and published prices, not hands-on testing of every service.

  • AI service: answers around the clock from your saved details, takes messages when unsure
  • Human service: people answer, with pricing and hours that vary by provider and plan
  • In-house receptionist: covers phones plus front-desk tasks, at employee cost
  • Voicemail only: no conversation, no booking, caller must wait for a callback
  • Compare included minutes or calls, overage rates, and how each handles unknown questions

Transfers and messages

Sometimes a caller needs you directly. AllDayDesk can transfer calls, but only after you configure a transfer destination and the rules for when transfers happen. A transfer is not guaranteed to be picked up or answered immediately, so treat it as one tool among several rather than a promise of live contact.

For everything else, the service takes ordinary messages. When a caller asks a question you have not saved an answer or price for, or requests a time you cannot confirm, the caller is asked for their details and the message appears in your dashboard with the transcript and summary. You decide what to do with it.

This is why keeping your business information current matters. The more accurate your saved services, prices and availability are, the more calls the service can resolve on the spot and the fewer messages you have to return.

  • Configure a transfer destination and rules before expecting transfers
  • Transfers are not guaranteed to connect or be answered immediately
  • Unknown answers, prices and times become messages, not guesses
  • Messages, transcripts and summaries appear in your dashboard
  • Update saved business details whenever your prices or services change

More questions, answered

Do I have to change my business phone number?

No. You keep your public number and forward calls to AllDayDesk. The forwarding steps depend on your phone carrier and product, so identify your exact service before entering any codes.

Can I use my Google Voice number with AllDayDesk?

No. Google states that forwarding calls from a Google Voice number to an automated system is unsupported, so a Google Voice line is not a supported way to connect.

Will the service book appointments on my calendar?

New appointments are booked on the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. You can optionally connect Google Calendar in Settings after connecting and authorizing your Google account.

What happens if a caller asks something the service does not know?

It takes a message instead of guessing. Unknown answers, prices and appointment times are collected as messages you can review in the dashboard with the call transcript and summary.

Can callers be transferred to me?

Yes, after you configure a transfer destination and rules. Neither pickup nor an immediate response is guaranteed, so review your transfer settings carefully.

How is this different from hiring a receptionist?

An in-house receptionist also handles front-desk and office tasks beyond the phone, according to Bureau of Labor Statistics role data. A telephone answering service focuses on calls, messages and bookings, and is available at times an employee may not be.
