AI phone answering for your business
A virtual assistant call answering service answers your business phone for you. You forward your existing number to the service, and an assistant — in AllDayDesk's case, an AI assistant built around your business information — answers in your business's name, takes messages, and can book appointments. This page explains how these services work, what to compare, and how to get started.

How it works
Choose your business or enter its website. Check the services, hours, and details callers need.
Listen to a sample for your business and check its answers. The sample does not create a real booking.
Follow the steps for your phone service. Set up booking availability and any call transfers you want to use.
Review calls, messages, and bookings in your dashboard.
The idea is simple. When a call comes in to your regular business number, your phone service forwards it to the answering service. The assistant answers using your business name and the details you've saved — your services, hours, pricing, and policies. The caller feels like they reached your office, even though you didn't have to stop what you were doing.
With AllDayDesk, you set it up by choosing your business or entering its website. The system pulls in your public business details, you check that everything is right, and then you hear a personalized sample so you know exactly how your calls will sound. The sample is just a preview — it doesn't create a real booking or take any real action.
After that, you choose your phone setup. You keep your existing number and forward calls to AllDayDesk. The exact forwarding steps depend on who provides your phone service, and we have guides for the major carriers. Once you're live, calls, transcripts, summaries, and bookings are visible in your dashboard, so you can see what happened while you were busy.
A virtual assistant call answering service covers the everyday calls that interrupt your work. The assistant can answer questions about your services and pricing when the information is saved in your business details, take a message when it doesn't know an answer, and book new appointments.
Booking works through the built-in AllDayDesk dashboard calendar by default, once you've set up your services and availability. If you prefer, you can optionally connect Google Calendar in Settings after authorizing your Google account. If a caller asks about changing an existing appointment, the assistant records that as a request for you to review — it doesn't confirm changes on its own.
If you want certain calls handed to you directly, you can configure call transfers. You set the destination number and the rules for when transfers happen. Because transfers depend on your phone setup and whether you're available to pick up, there's no guarantee every transfer connects. When the assistant doesn't know an answer, a price, or an opening, it takes a message so you can follow up.
You don't need a new phone number. You forward your existing one, and the instructions depend on your carrier. For example, on Verizon mobile you dial *72 plus the 10-digit destination to forward all calls and *73 to turn it off; *71 handles calls that go unanswered. T-Mobile uses codes like **21*1 followed by the destination and # for all calls. Comcast Business, Spectrum Business, AT&T, Frontier, Vonage, and Optimum each have their own steps, often through an online portal or a star code.
The key thing to know is that forwarding comes in two types. All-call (unconditional) forwarding sends every call to the service. Conditional forwarding only sends calls you can't answer — when your line is busy, you don't pick up, or your phone is off. Many owners use conditional forwarding so they still get first crack at their own calls, and the assistant covers the rest.
One important exception: Google Voice does not support forwarding its calls to an automated system, so a Google Voice number can't be pointed at AllDayDesk this way. If you're not sure what type of phone service you have, check your bill or your provider's support pages before entering any codes.

Virtual assistant call answering comes in two main flavors. Human services, like Ruby or Smith.ai's live receptionists, staff your calls with real people. Ruby advertises plans starting at $245 per month, and Smith.ai prices its human receptionist service per call — actual costs depend on the plan, included allowance, and overage rates, so you'd want a current quote from each.
AI services like AllDayDesk answer with a trained assistant instead of a person. That generally means lower cost and instant availability at any hour, with the tradeoff that a machine handles the conversation. Human services can handle judgment-heavy calls, but they cost more and their coverage hours and fees vary by plan. Neither option is automatically better — it depends on your call volume, your budget, and how complex your calls are.
When comparing any service, look past the headline price. Ask what's included, what extra minutes or calls cost, whether the assistant can book appointments on your calendar, how you get your messages, and what happens when the assistant doesn't know something. A good service takes a message rather than guessing.

Most owners answer their own phone — there's no front desk staff to lean on. That means every call competes with the job in front of you. A virtual assistant call answering service fits anyone in that position: solo contractors, mobile service businesses, small offices, and anyone whose workday doesn't leave room for a ringing phone.
It's especially useful when calls come in while you're hands-busy or outside normal office hours. The assistant is available around the clock, so a caller at 8 p.m. gets the same helpful answers and message-taking as one at 10 a.m. Around-the-clock availability describes when the service can take calls — it doesn't guarantee every call connects, since phone networks and forwarding can fail like any technology.
If your calls are mostly routine — hours, services, pricing, booking, and the occasional message — an AI assistant handles them well. If your calls involve complicated judgment or sensitive topics, think carefully about what you want the assistant to handle versus what should become a message for you.
