AI phone answering for your business

Virtual Call Receptionist: How It Works and How to Choose One

A virtual call receptionist answers your business phone when you are busy, away, or closed, without a person sitting at a front desk. You keep your existing phone number and forward your calls to the service. The receptionist greets callers using your saved business details, answers common questions, takes messages, and can book appointments. With AllDayDesk, you can hear a personalized sample of how your receptionist would sound before you choose your phone setup, and you can see calls, transcripts, summaries, and bookings in your dashboard at any time. This page explains what a virtual call receptionist actually does, how setup works, and what to compare before you pick a service.

How it works

Set up your business receptionist

01

Add your business

Choose your business or enter its website. Check the services, hours, and details callers need.

02

Hear your receptionist

Listen to a sample for your business and check its answers. The sample does not create a real booking.

03

Connect your phone

Follow the steps for your phone service. Set up booking availability and any call transfers you want to use.

Review calls, messages, and bookings in your dashboard.

What a Virtual Call Receptionist Does

A virtual call receptionist handles incoming phone calls on behalf of your business. Instead of a caller reaching your voicemail or hearing a ring with no answer, the receptionist picks up with a greeting built around your business information.

The receptionist uses the details you save about your business to respond to callers. It can answer questions about your services and prices when it knows the answer, take a message when it does not, and book new appointments. If a caller asks something it cannot answer, it takes a message so you can follow up yourself.

Everything happens in a dashboard. You can read call transcripts, see summaries of each conversation, and review any appointments that were booked. Most owners answer their own phones day to day, so the receptionist works alongside you rather than replacing you.

  • Greets callers using your saved business information
  • Answers questions it knows and takes a message when it does not
  • Books new appointments once your services and availability are set up
  • Shows calls, transcripts, summaries, and bookings in your dashboard

How Setup Works

Setting up a virtual call receptionist starts with your business, not your phone. You choose your business or enter its website, and the service builds its knowledge from those details. You then check that the information is correct before anything goes live.

Next, you hear a personalized sample of how your receptionist would sound answering for your business. This sample is a preview only; it does not create a real booking or affect your actual schedule.

Finally, you choose your phone setup. You keep your public phone number and forward calls to the service. The exact forwarding steps depend on your phone provider, so check which service you have before following any instructions.

  • Choose your business or enter its website so the receptionist learns your details
  • Check the information before it is used with callers
  • Hear a personalized sample; it creates no real booking
  • Keep your existing public number and forward calls to the service

Forwarding Your Calls: Examples by Provider

Because you keep your own number, forwarding is the main technical step. Instructions differ by carrier and product, so identify your exact service first. Verizon mobile uses *72 plus the 10-digit destination to forward all calls, *71 for unanswered calls, and *73 to turn forwarding off; Verizon business landline uses *72 and *73 for all-call forwarding. T-Mobile uses **21*1 followed by the destination and # for unconditional forwarding, with ##21# to disable, and **61*1 for no-reply calls. AT&T Phone for Business uses *72, destination, # for all calls, *92 for no-answer, and *90 for busy, each with matching disable codes; AT&T Collaborate uses different codes, so confirm your product first.

Spectrum Business Voice manages forwarding through the SpectrumBusiness.net portal under Voice Settings or Forwarding Manager, where you choose all calls or busy/no-answer and set the destination. Comcast Business features depend on whether you have Voice Mobility, Business Voice, VoiceEdge, or Managed Voice, so identify your product before using any instructions.

One important limit: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so that path is not an option.

  • Verizon mobile: *72 + destination (all calls), *71 + destination (unanswered), *73 to disable
  • T-Mobile: **21*1 + destination + # (all calls), ##21# to disable
  • AT&T Phone for Business: *72, destination, # (all calls); *92 no-answer; *90 busy
  • Spectrum Business Voice: manage forwarding in the online portal, not with star codes
  • Google Voice numbers cannot be forwarded to an automated system

Appointments and Calendars

New appointments booked by your receptionist go to the built-in AllDayDesk dashboard calendar by default. This works once you have configured your services and availability, so the receptionist knows what you offer and when you can take appointments.

If you prefer to work in Google Calendar, an optional connection is available in Settings. After you connect and authorize your Google account, appointments can appear there. No other external calendar or scheduling software is supported.

Changes to existing appointments are different from new bookings. When a caller wants to move or cancel an appointment, the receptionist records that as a request for you to review. It does not confirm the change on its own, so you stay in control of your schedule.

  • New bookings go to the built-in dashboard calendar by default
  • Set up your services and availability before booking goes live
  • Google Calendar is an optional connection in Settings after you authorize your account
  • Changes to existing appointments are requests for you, not confirmed changes

Transfers and Taking Messages

Sometimes a caller needs to reach you directly. You can configure call transfers by setting a destination number and rules for when transfers happen. A transfer is an attempt, not a guarantee: the receptionist cannot promise the caller that you will pick up or respond immediately.

When the receptionist does not know an answer, does not have a price, or cannot confirm an appointment, it takes a message instead of guessing. Messages, along with transcripts and summaries, appear in your dashboard so nothing depends on you being near the phone.

  • Set a transfer destination and rules in advance
  • Transfers are attempts; pickup and immediate response are not guaranteed
  • Unknown answers, prices, or appointment questions become messages
  • Review messages, transcripts, and summaries in your dashboard

Comparing Virtual Receptionist Options

Virtual call receptionists generally fall into two groups: services staffed by people and services powered by software. Human services, such as Ruby, which advertises plans starting at $245 per month, or Smith.ai's per-call human receptionist pricing, employ trained agents who answer in your business name. Smith.ai also sells a separate AI receptionist product with escalation to its live agents. AnswerConnect offers 24/7 live answering by people. These figures come from the companies' own pages checked in October 2026; verify current quotes, included allowances, overage rates, hours, and contracts before deciding.

Software-based receptionists like AllDayDesk answer around the clock using your saved business information, with pricing shown separately on this site. Around-the-clock availability describes when the service can take calls, not a promise that every call connects.

A traditional in-house receptionist does more than answer phones. According to the Bureau of Labor Statistics, receptionists also greet visitors and handle office tasks, so a phone service is not a full replacement for that role. Human coverage and fees vary widely by service and plan, so compare scope and cost rather than assuming one option always costs more.

  • Human services: trained agents answer, with monthly or per-call pricing that varies by plan
  • AI receptionists: answer using your saved business details, available around the clock
  • In-house receptionists: cover phones plus front-desk and office tasks
  • Compare included minutes or calls, overage charges, hours, and contract terms

More questions, answered

Do I have to change my business phone number?

No. You keep your public number and forward calls to the receptionist service. The forwarding steps depend on your phone provider, so identify your exact service before following any instructions.

Can I hear what the receptionist would sound like before committing?

Yes. During setup you hear a personalized sample based on your business details. The sample is a preview only and creates no real booking.

Can the receptionist book appointments in my Google Calendar?

New appointments go to the built-in AllDayDesk dashboard calendar by default. Google Calendar is supported as an optional connection in Settings, after you connect and authorize your Google account. Other external calendars and scheduling software are not supported.

What happens if a caller asks something the receptionist does not know?

It takes a message instead of guessing. You can review the message, along with the call transcript and summary, in your dashboard.

Can I forward my Google Voice number to the receptionist?

No. Google states that forwarding calls from a Google Voice number to an automated system is unsupported, so that path will not work.

Will callers always reach a person when a transfer happens?

A transfer is an attempt to connect the caller to the destination you configured. Pickup and immediate response are not guaranteed, which is why the receptionist also takes messages when needed.
