AI phone answering for your business
A virtual front desk receptionist is a service that answers your business phone when you cannot, using the information you provide about your business. AllDayDesk is a virtual front desk receptionist that answers calls around the clock, takes messages, and books new appointments into a calendar you control. You keep your existing phone number and forward your calls to the service, so callers dial the same number they always have. Setup starts by choosing your business or entering its website, checking the details the service pulled up, hearing a personalized sample call, and then choosing how to connect your phone. After that, calls, transcripts, summaries, and bookings show up in your dashboard. This page explains what a virtual front desk receptionist does, how forwarding works, what happens when the service does not know an answer, and how to decide whether this kind of service fits your business.

How it works
Choose your business or enter its website. Check the services, hours, and details callers need.
Listen to a sample for your business and check its answers. The sample does not create a real booking.
Follow the steps for your phone service. Set up booking availability and any call transfers you want to use.
Review calls, messages, and bookings in your dashboard.
Think of a virtual front desk receptionist as the voice of your front office on the phone. When a caller reaches your business line, the service greets them, answers questions using the business information you saved, and handles common front desk tasks. It works around the clock, so calls that come in early, late, or while you are on another job still get handled.
The service does not replace everything a person at a physical front desk does. An in-house receptionist may greet walk-in visitors, sort mail, and handle other office tasks. A virtual front desk receptionist focuses on the phone: answering, sharing information, taking messages, and booking new appointments.

Getting started does not require new phone hardware or a new number. You begin by choosing your business from a list or entering its website. The service pulls up your public business details, and you check that the information is correct, since this is what callers will hear about your business.
Next, you hear a personalized sample call so you know exactly how your receptionist will sound before anything goes live. The sample is a demonstration only; it does not create a real booking. Once you are happy with it, you choose your phone setup and forward your calls. Most owners answer their own phone, so this guide assumes you are the one managing the line.
You keep your public phone number. Instead of publishing a new one, you forward calls from your existing line to the service. The exact forwarding instructions depend on your phone provider, so check which service you have before entering any codes.
For example, Verizon mobile lines use *72 plus the 10-digit destination to forward all calls and *73 to turn forwarding off, with *71 for unanswered calls. T-Mobile lines use **21*1 followed by the destination and # for unconditional forwarding, and ##21# to disable it. Comcast Business, Spectrum Business Voice, Vonage Business Communications, Frontier, and Optimum each have their own portal or code steps, and the product name on your bill matters. If you use Google Voice, note that Google does not support forwarding calls from a Google Voice number to an automated system, so you would forward a carrier line instead.

New appointments go into the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. If you prefer Google Calendar, you can optionally connect it in Settings after you connect and authorize your Google account. Other calendars and industry scheduling software are not part of the service.
When a caller wants to change an existing appointment, the service records that as a request for you rather than confirming the change itself. You stay in control of your schedule and review requests in the dashboard alongside your transcripts and summaries.
Sometimes a caller needs to reach you directly. The service can transfer calls, but you must first configure a transfer destination and the rules for when transfers happen. Even with a destination set, a transfer is not guaranteed to be picked up or answered immediately, so treat transfers as one option among several.
When the service does not know an answer, a price, or whether a time is open, it takes a message instead of guessing. Messages show up in your dashboard with the call transcript and summary, so you can call people back with accurate information.
The right choice depends on how your calls actually arrive and what you want done with them. A virtual front desk receptionist suits owners who handle their own phones and want calls covered around the clock without hiring. If you need in-person greeting, mail handling, or other office work, an in-house receptionist still covers ground a phone service does not.
Costs also differ across service types. Human virtual receptionist services exist, such as Ruby with plans advertised from $245 per month, and Smith.ai, which uses per-call pricing for its human receptionist service. Those are starting prices only; included minutes, overage rates, hours, and contracts vary, so compare current quotes. AllDayDesk pricing is displayed separately on this site. When comparing any option, look at what happens to a call end to end: who answers, what they can book, and where the information lands.
