AI phone answering for your business
Virtual phone assistant services answer your business calls for you: they greet callers, answer questions using information you provide, take messages, and can book appointments. This page covers what these services do, the main types, how setup works, and what to check before choosing one. AllDayDesk is one example, answering calls around the clock using your saved business details.

How it works
Choose your business or enter its website. Check the services, hours, and details callers need.
Listen to a sample for your business and check its answers. The sample does not create a real booking.
Follow the steps for your phone service. Set up booking availability and any call transfers you want to use.
Review calls, messages, and bookings in your dashboard.
A virtual phone assistant sits between your callers and you. When someone calls your business number, the service answers using your business name and the details you have saved. It can answer common questions, take a message, and book new appointments. Everything it does shows up for you afterward: call records, transcripts, summaries and any bookings appear in a dashboard you can check any time.
It is important to know the limits. When a caller asks something the assistant does not know, like a specific price or a detail about an appointment, it takes a message so you can respond yourself. Changes to existing appointments are passed to you as requests, not confirmed changes. If your service is set up to transfer calls to you, that only works after you configure a destination number and rules, and a transfer is not guaranteed to connect.
There are three broad kinds of service in this category, and they work quite differently. Knowing the differences helps you match a service to your call volume and budget.
Human virtual receptionist companies staff phones with trained people. Ruby, for example, advertises live virtual receptionist plans starting at $245 per month as of October 2026, and Smith.ai sells per-call human receptionist pricing that depends on the needs you select. AnswerConnect offers around-the-clock live answering by people. With these services, cost and coverage depend heavily on the plan, included allowance and hours, so you need a current quote to compare fairly.
AI-based assistants, like AllDayDesk, answer calls with software trained on your business information. They are available around the clock and typically price by included minutes per month, with a per-minute rate for calls beyond that allowance; AllDayDesk's current plans and minute allowances are shown in the pricing display. Some providers blend both: Smith.ai also sells a separate AI receptionist product with on-demand escalation to its live agent network.
Finally, a plain auto-attendant is a menu system, not an assistant. It routes calls with button presses but does not converse, answer questions or book anything.

Setup starts by choosing your business or entering its website, so the service can pull in your details. You then check those details, hear a personalized sample of how your calls would be answered, and choose your phone setup. The sample is a preview only and creates no real booking.
You keep your existing public phone number. Calls reach the assistant through call forwarding, and the exact instructions depend on your phone carrier or service. For example, Verizon mobile uses *72 plus the destination to forward all calls and *73 to turn it off, while T-Mobile uses **21*1 followed by the destination and # for unconditional forwarding. Business landline and hosted products differ: Spectrum Business Voice manages forwarding in its online portal, and Optimum Business Phone uses *72 from the line. Always identify your exact service first, because codes and portals are not interchangeable between carriers or products.
One known limitation: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice number is not a compatible forwarding path.

New appointments made by the assistant go on the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. That setup step matters: the assistant can only book what you have told it you offer and when you are available.
If you already keep your schedule in Google Calendar, you can optionally connect it in Settings after connecting and authorizing your Google account. This connection is optional, not automatic, and Google Calendar is the external calendar AllDayDesk supports. Requests to change an existing appointment are always sent to you as requests; the assistant does not confirm changes on its own.
Use these criteria to compare any service in this category, including ours. Work through them before you commit, and ask each provider the same questions so you are comparing like with like.
First, decide who or what should answer: a person, software, or a mix. Second, look at real total cost, not just the headline price: check the included minutes or calls, overage rates, and whether the plan covers the hours you need. Third, confirm the practical mechanics: whether you keep your number, how forwarding works with your carrier, and what happens when the assistant does not know an answer. Fourth, check where bookings and call records live, and whether your calendar is supported. Fifth, be clear about scope: a phone assistant is not a full office employee, since in-house reception also covers greeting visitors and other tasks.
Also be realistic about availability claims. Around-the-clock availability describes when a service can take calls, not a promise that every single call connects or that a transfer always reaches you.

AllDayDesk is an AI-based virtual phone assistant. It answers calls around the clock using your saved business information, keeps your public number through forwarding, books new appointments to your dashboard calendar (or optionally Google Calendar), and shows you calls, transcripts and summaries in the dashboard. When it cannot answer something, it takes a message. It does not connect to dispatch systems, CRMs, health records, industry scheduling software, or calendars other than the optional Google Calendar connection, and it is not a human answering service.
If you run a specific type of business, it helps to see how call handling applies to your trade before deciding.

No. You keep your public number and forward calls to the assistant. The forwarding steps depend on your phone carrier or service, so check the instructions for your exact product.
Google Calendar is supported as an optional connection. You connect and authorize your Google account in Settings. By default, new appointments go on the built-in AllDayDesk dashboard calendar.
It takes a message so you can follow up yourself. It does not guess at prices, appointment details, or anything else that is not in your saved business information.
Transfers require you to configure a destination number and rules, and neither pickup nor an immediate response is guaranteed. Treat transfers as one tool among message taking, not a certainty.
A human service staffs phones with people and usually prices by calls or agent time. AllDayDesk answers with software using your business details and prices by included minutes. The comparison section above lists providers of each type so you can weigh them.
