Virtual Phone Attendant: What It Does and How to Set One Up

A virtual phone attendant is a service that answers your business line for you, using information you saved about your business. It can answer questions, take messages, and book appointments. You keep your existing number and forward calls to the service. AllDayDesk answers around the clock, and you can review calls, transcripts, summaries, and bookings in the dashboard.

What a virtual phone attendant actually does

A virtual phone attendant sits between your callers and you. When a call comes in on your business line, the attendant answers it in your business's name. It can answer common questions, take a message, and book new appointments. The point is not to replace you on the phone; it is to make sure a caller gets a helpful response instead of an unanswered ring or a generic beep.

With AllDayDesk, the attendant works from business information you save: your services, hours, location, and other details. When a caller asks something the attendant does not know, such as a price that is not saved or a question about an existing appointment, it takes a message so you can follow up. Changes to existing appointments are passed to you as requests, not confirmed changes, so you stay in control of your schedule.

Everything the attendant handles shows up in your dashboard: the calls, written transcripts, summaries, and any bookings. You can check in whenever you want and see exactly what happened on each call.

  • Answers your existing business number around the clock
  • Uses your saved business information to respond to callers
  • Takes a message when an answer, price, or appointment detail is unknown
  • Books new appointments once you have configured services and availability
  • Shows calls, transcripts, summaries, and bookings in the dashboard

Virtual attendant, voicemail, or human receptionist?

There are a few ways to handle calls you cannot take, and each fits a different situation. A plain voicemail box costs nothing extra but puts all the work on the caller, who has to leave details and wait for a callback. A human receptionist, whether in-house or through an outsourced service, handles calls personally but also costs a salary or a service fee, and in-house reception usually includes office tasks beyond the phone, like greeting visitors, according to the Bureau of Labor Statistics occupation guide.

A virtual phone attendant sits in between. It answers automatically, so it is available around the clock, and it does more than voicemail because it can answer questions and book appointments from your saved information. It does not handle in-person visitors or office work, and it is not a person. If your callers mostly need straightforward answers, messages, and booking, an attendant covers that. If your callers need judgment calls or sensitive conversations, weigh that in your decision.

Human virtual receptionist services exist too, and their pricing varies by provider and plan. For example, Ruby advertises live virtual receptionist plans starting at $245 per month as of October 9, 2026, and Smith.ai sells human receptionist service with per-call pricing. Those starting prices are not complete cost comparisons; you would need each provider's included allowance, overage rates, hours, and contract terms to compare fairly. AllDayDesk pricing is displayed separately on this page.

  • Voicemail: cheap, but callers do all the work and get no answers
  • In-house receptionist: personal and versatile, but a payroll cost and not phone-only
  • Human virtual receptionist: personal coverage, priced per provider and plan
  • Virtual phone attendant: automated, available around the clock, answers and books from your saved info

How setup works with AllDayDesk

Setting up a virtual phone attendant with AllDayDesk starts with your business, not your phone. You choose your business or enter its website, and the service builds its knowledge from that. You then check the details it found to make sure they are right, because the attendant will use exactly that information when talking to callers.

Next, you hear a personalized sample of how the attendant would sound for your business. This sample is a preview only; it does not create a real booking or take any real action. If you like what you hear, you move on to the phone setup step, which is where you forward your existing number to the service.

You keep your current public phone number. Forwarding instructions depend on who provides your phone service, so check your provider's own directions. For example, Verizon mobile uses *72 plus the destination number for all-call forwarding and *73 to turn it off, while T-Mobile uses **21*1 plus the destination and # for unconditional forwarding. Business VoIP products like Comcast Business Voice, Spectrum Business Voice, and Vonage Business Communications manage forwarding through their online account portals instead of star codes. Identify your exact product first, because codes differ even within the same carrier's product lines.

  • Step 1: choose your business or enter its website
  • Step 2: check the business details the service found
  • Step 3: hear a personalized sample (a preview, not a real booking)
  • Step 4: choose phone setup and forward your existing number
  • Forwarding codes and portal steps depend on your specific phone provider and product

Appointments, calendars, and call transfers

New appointments made by the attendant go on the built-in AllDayDesk dashboard calendar by default. That works once you have configured your services and availability, so the attendant knows what can be booked and when. If you prefer, you can optionally connect Google Calendar in Settings after connecting and authorizing your Google account. That is the supported external calendar connection; other calendar or scheduling software is not part of the service.

The attendant can also transfer calls to you. Transfers require you to configure a destination number and the rules for when transfers happen. Once configured, a caller with a question the attendant cannot handle can be sent to you directly. Keep in mind that neither the pickup nor an immediate response is guaranteed on a transfer. Separately, whenever the attendant cannot resolve something on a call, it takes a message so you can follow up.

Anything about an existing appointment, like a reschedule request, comes to you as a request to approve or handle. The attendant does not silently change bookings you already made.

  • New bookings go to the built-in dashboard calendar once services and availability are configured
  • Google Calendar is an optional connection in Settings, after you connect and authorize your account
  • Call transfers need a configured destination and rules from you
  • Transfer pickup and immediate response are not guaranteed
  • Changes to existing appointments arrive as requests, not confirmed edits
  • Learn more about how automated appointment booking works once your services and availability are set. AI appointment booking

Is a virtual phone attendant right for your business?

A virtual phone attendant fits best when your calls are predictable: questions about services, hours, pricing you have saved, and booking requests. Owners who work with their hands, see clients all day, or simply cannot stop to answer mid-task often get the most value, because the attendant handles the routine calls and passes everything else to them as messages and requests.

It is a weaker fit when most calls need human judgment, sensitive handling, or information that changes too fast to keep saved. Also note that around-the-clock availability does not guarantee every single call connects; it describes when the service is available to answer, not an absolute pickup promise.

If you are not sure, the fastest way to decide is to hear the sample for your own business and compare it with what your callers typically ask. You can also look at how your current voicemail is performing: if callers hang up without leaving messages or you spend evenings returning vague callbacks, an attendant that answers and gathers details solves a real problem.

  • Good fit: routine questions, messages, and appointment booking
  • Weaker fit: calls needing human judgment or fast-changing information
  • Around-the-clock availability describes when the service answers, not a guarantee every call connects
  • Compare the personalized sample against what your callers usually ask

More questions, answered

Do I have to change my business phone number?

No. You keep your existing public number and forward calls to AllDayDesk. The forwarding method depends on your phone provider, so follow your provider's own instructions for your specific product.

Can I hear what the attendant would sound like before committing?

Yes. During setup you hear a personalized sample based on your business details. The sample is a preview only and does not create a real booking or take any real action.

Does it work with Google Calendar?

Yes, as an optional connection. After setup, you can connect and authorize your Google account in Settings. By default, new appointments go on the built-in AllDayDesk dashboard calendar.

What happens when the attendant does not know an answer?

It takes a message so you can follow up. This applies when an answer, a price, or an appointment detail is not in your saved business information.

Can I see what the attendant said on each call?

Yes. Calls, transcripts, summaries, and bookings all appear in your AllDayDesk dashboard, so you can review each interaction whenever you like.

Will callers always reach a person on a transfer?

No. Transfers use a destination number and rules you configure, but neither pickup nor an immediate response is guaranteed. Separately, when the attendant cannot resolve something on a call, it takes a message so you can follow up.
