When a caller reaches your AllDayDesk receptionist, it greets them, answers questions using the business information you saved, and offers to schedule. If the caller wants an appointment, the receptionist checks your configured services and availability, then books a slot on the built-in AllDayDesk dashboard calendar.
If a caller asks something the receptionist does not know — like a price you have not listed or a question outside your saved details — it takes a message instead of guessing. The same goes for changes to existing appointments: those are passed to you as requests to review, not confirmed changes.
You can hear a personalized sample of your receptionist before anything goes live. The sample is a preview only and does not create a real booking.
By default, new appointments land on the built-in AllDayDesk dashboard calendar. This works once you have set up your services and availability in the dashboard, so the receptionist knows what can be booked and when.
If you prefer to see bookings alongside your existing schedule, AllDayDesk supports an optional Google Calendar connection. You enable it in Settings and authorize your Google account yourself — it is never connected automatically. Other calendar tools and industry scheduling software are not supported connections.
Either way, you can open the dashboard at any time to see calls, transcripts, summaries, and bookings in one place.
You do not need a new phone number. You keep your public number and forward calls to AllDayDesk. The exact forwarding steps depend on your phone service, so check your provider's instructions before you start.
For example, Verizon mobile uses *72 plus the destination number for all-call forwarding and *71 for unanswered calls, with *73 to turn it off. T-Mobile uses codes like **21*1 plus the destination to forward all calls. Comcast Business manages forwarding through its account portal, and the steps differ between products like Voice Mobility and Managed Voice. Always confirm which product or plan you have, because codes and portals vary.
One important limit: Google Voice does not support forwarding its calls to an automated system, so a Google Voice number is not a compatible path to AllDayDesk.

Setup starts with your business, not your phone. First, choose your business or enter its website so AllDayDesk can pull in your details. Review what it found and correct anything that is wrong or missing — this is what the receptionist will say to callers.
Next, listen to a personalized sample so you know exactly how your receptionist will sound. Remember the sample does not create a real booking. Then choose your phone setup option and follow the forwarding instructions for your provider.
Before booking can happen, configure your services and availability in the dashboard. After that, bookings flow to your dashboard calendar automatically, and you can connect Google Calendar in Settings if you want.
Sometimes a caller needs a person — for example, an upset customer or a question only you can answer. AllDayDesk can transfer calls to you, but only after you configure a transfer destination and the rules for when transfers happen. A pickup or immediate response is not guaranteed, since it depends on whether you answer at the destination.
When the receptionist cannot answer a question, does not know a price, or cannot find a suitable appointment, it takes a message. You review messages, transcripts, and summaries in the dashboard and decide how to follow up.
It helps to be realistic about scope: the receptionist handles phone conversations and booking. It does not connect to dispatch systems, CRMs, health records, or industry software, and it does not collect sensitive medical, legal, financial, or payment details from callers.
A virtual receptionist with booking makes the most sense when calls come in while you are working, when you answer your own phone, and when appointments are the main reason people call. Trades, salons, clinics, and similar appointment-driven businesses often fit this pattern.
It is a weaker fit if your booking rules are so complex that a caller could not describe what they need, or if you need deep integration with scheduling software you already use — only the built-in calendar and optional Google Calendar are supported. If you want a human voice or in-office tasks like greeting visitors, compare the trade-offs honestly: human services and in-house reception cover different scopes and cost structures.
A practical decision test: list the five most common reasons people call you. If most of them are questions about your services or requests for appointments, an automated booking receptionist can likely handle them. If most calls need judgment calls or account-specific records, weight your choice toward more human coverage.
