AI Receptionist for Salons
An AI receptionist for salons is software that answers your salon's phone calls, takes messages, and books appointments without a person picking up. You keep your existing salon phone number and forward your calls to the service. It answers using information about your business, such as your services and hours, and it can book new appointments on a calendar you control. This guide explains how the technology works, what setup looks like, how booking and calendars fit in, and what to compare before choosing any service.

How an AI receptionist handles salon calls
When a call comes in, the AI receptionist answers in your salon's name and talks with the caller the way a front desk person would. It can share details you have saved about your business, such as services, hours, and location. When a caller wants an appointment, it can book a new appointment on your calendar. When it does not know an answer, such as a price that is not in your saved information, it takes a message so you can follow up.
Calls, transcripts, summaries, messages, and bookings are visible in the dashboard. That means you can review what happened on a call even when you were with a client and could not pick up.
One important limit: if an existing client calls to change an appointment, the AI receptionist records that as a request for you to review. It does not confirm the change on its own. You stay in charge of your book.
- Answers calls using your saved business information
- Books new appointments once your services and availability are set up
- Takes a message when it does not know an answer or price
- Shows calls, transcripts, summaries, and bookings in a dashboard
- Treats changes to existing appointments as requests, not confirmed changes

Setting it up for your salon
Setup starts by choosing your salon from a business listing or entering your salon's website. The service pulls together your business details, and you check them for accuracy. Then you hear a personalized sample of how the receptionist will sound answering your salon's calls. The sample is a preview only; it does not create a real booking.
After you are happy with the sample, you choose how to connect your phone. You keep your public salon number. You forward calls to the service, and the exact instructions depend on your phone carrier or phone system. Some carriers use star codes you dial from your phone, while others use an online account portal. Your carrier's own instructions are the reliable source for the right steps.
Before new appointments can be booked, you also configure your services and your availability. The receptionist can only offer times you have made available.

Calendars and booking
New appointments go on the built-in AllDayDesk dashboard calendar by default. You set up your services and availability first, and then the receptionist books callers into open times on that calendar.
If you prefer to work in Google Calendar, there is an optional connection. After you connect and authorize your Google account in Settings, bookings can use that calendar. The connection is optional and set up by you; it does not happen automatically.
Other calendar tools and salon scheduling software are not part of this service. If your salon relies on a different scheduling program, check whether its own export or sharing options can help, and plan to review bookings in the dashboard.
- New appointments use the built-in dashboard calendar by default
- Services and availability must be configured before booking works
- An optional Google Calendar connection is available in Settings after you connect and authorize your account
- Other scheduling software is not connected by the service

Transferring calls to you
Sometimes a caller needs to reach you directly, such as a regular client with a detailed question. The receptionist can transfer the call to you, but you have to configure a transfer destination and the rules for when transfers happen first. Transfers are not guaranteed to connect: if you are mid-color or with a client, you may not pick up, and there is no promise of an immediate response.
When the receptionist cannot answer a question, does not know a price, or the caller's need is outside your saved information, it takes a message instead. You review messages in the dashboard and call back when you have a gap between clients.
- Configure a transfer destination and rules before transfers work
- A transfer connecting depends on you being able to pick up
- Unknown answers, prices, or requests become messages you review

Comparing AI receptionists, human services, and voicemail
You have three broad options for salon phone coverage, and each has trade-offs. This comparison covers documented features of each type of service rather than hands-on testing, and AllDayDesk is this site's own product.
An AI receptionist answers around the clock using your saved business information and books appointments on a calendar you set up. A human virtual receptionist service, such as Ruby or Smith.ai's live receptionist service, uses trained people to answer calls; Ruby advertises plans starting at $245 per month as of October 9, 2026, and Smith.ai prices its human service per call, so you would compare current quotes, included allowances, and hours. Some providers, including Smith.ai, also sell a separate AI receptionist product with escalation to live agents. An in-house front desk person covers phones plus greeting walk-ins and other office tasks, which is a wider job than a phone service replaces.
Plain voicemail gives callers no answers and no booking. An AI receptionist can answer common questions and book new appointments at any hour, while anything it does not know becomes a message for you.
- AI receptionist: automated answers, message taking, and booking on your configured calendar
- Human virtual receptionist: people answer; pricing varies by provider and plan, so compare quotes
- In-house receptionist: phones plus in-person duties, which a phone service does not fully replace
- Voicemail: callers get no answers and no booking

Forwarding your salon number
Keeping your existing salon number means forwarding calls to the service, and the steps depend entirely on your phone provider. Mobile carriers often use star codes. For example, Verizon mobile uses *72 plus the destination to forward all calls and *73 to turn it off, while T-Mobile uses **21*1 plus the destination and # for unconditional forwarding. Landline and business voice products differ: AT&T Phone for Business uses *72, the destination, then #, and Spectrum Business Voice manages forwarding through its online account instead of codes.
Identify your exact service before following any instructions, because codes and portals differ even within one carrier's product lineup. One clear exception: Google Voice does not support forwarding calls to an automated system, so a Google Voice number is not a compatible path.
Our carrier guides walk through the major providers step by step.
- Forwarding instructions depend on your specific carrier and product
- Verizon mobile: *72 plus destination to activate, *73 to disable
- T-Mobile: **21*1 plus destination and # for all-call forwarding
- Spectrum Business Voice uses online account settings, not star codes
- Google Voice numbers cannot be forwarded to an automated system

More questions, answered
Will callers know they are talking to an AI?
The receptionist answers in your salon's name and speaks conversationally. You hear a personalized sample during setup, so you know exactly how your calls will sound before you turn it on.
Can it book a client into a time slot I already have filled?
No. It can only offer times that are open in the availability you configured. New appointments land on your dashboard calendar, or on Google Calendar if you have connected and authorized it in Settings.
What happens when a client calls to cancel or reschedule?
The receptionist records the request for you to review in the dashboard. Changes to existing appointments are requests, not confirmed changes, so you keep control of your book.
Does it work with my salon's scheduling software?
The service supports its built-in dashboard calendar and, optionally, Google Calendar after you connect and authorize your account. Other scheduling programs are not connected, so check those tools' own sharing options.
Do I need to change my salon's phone number?
No. You keep your public number and forward calls to the service. The forwarding steps depend on your carrier, so follow your provider's own instructions for your exact product.
What if the receptionist does not know a price?
It takes a message instead of guessing. You see the message, transcript, and call summary in the dashboard and can follow up between clients.
