How setup works, step by step

Getting started with AllDayDesk does not require new phone hardware or a number change. Setup starts by choosing your business or entering its website, then checking the details the service found about you. You hear a personalized sample of how your receptionist will sound — this sample creates no real booking, it just lets you check the tone and information before going further.

Next you choose phone setup. The instructions depend on your phone service, because forwarding codes and menus differ by carrier and product. For example, Verizon mobile uses *72 plus the destination number to forward all calls and *73 to turn it off, while T-Mobile uses **21*1 followed by the destination and # for unconditional forwarding. Comcast Business, Spectrum Business Voice, Vonage Business and others manage forwarding through their own portals or codes, so you identify your exact service first and follow its directions.

Once forwarding is on, calls to your regular number reach the receptionist. It is worth checking that forwarding is working the way your carrier describes before you rely on it. Everything the receptionist handles appears in your dashboard, so you can review transcripts and summaries and confirm bookings.

Appointments and calendars

New appointments are booked into the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. That means you decide what can be scheduled and when, and the receptionist works within those limits.

If you prefer Google Calendar, an optional connection is supported in Settings after you connect and authorize your Google account. This is an optional step, not something that happens automatically, and it is the only external calendar connection the service supports.

Changes to existing appointments work differently from new bookings: the receptionist treats them as requests for you to review, not confirmed changes. So if a caller wants to move a Tuesday job to Thursday, you will see that request and decide, rather than the change happening on its own.

Transfers and messages

Sometimes a caller needs a person instead of the receptionist — for example, a caller who insists on speaking with the owner. AllDayDesk can transfer calls, but only after you configure a transfer destination and the rules for when transfers happen. Neither that the caller picks up nor that you respond immediately is guaranteed; a transfer is an attempt to reach you, not a promise.

When the receptionist does not know an answer, a price, or an available appointment, it takes a message instead of guessing. That message, along with the call transcript and summary, lands in your dashboard so you can follow up yourself.

A note on scope: the receptionist does not connect to dispatch software, CRM systems, health records, industry scheduling tools, or calendars other than the optional Google Calendar connection described above.
