By default, new appointments go into the built-in AllDayDesk dashboard calendar. You see them alongside the call transcripts and summaries, and you manage your schedule from one place.
If you prefer to work in Google Calendar, AllDayDesk supports an optional connection. In Settings, you connect and authorize your Google account, and appointments can then work with your Google Calendar. This is an optional step you take yourself — it is not connected automatically, and no other calendar or industry scheduling software is supported.
New booking: a caller describes what they need. The receptionist matches it against your configured services and availability and books an open slot. The booking and a call summary appear in your dashboard.
Reschedule or cancel: the caller wants to change an existing appointment. The receptionist records the request and the details, and you receive it to approve or handle. Nothing is confirmed without you.
Question the receptionist can't answer: if a caller asks something outside your saved information — an unusual price, a policy detail, a special request — the receptionist takes a message so you can respond yourself.
Transfer requests: you can configure transfers to another destination with your own rules, such as forwarding certain calls to your cell. Transfers depend on that configuration, and neither pickup nor an immediate response is guaranteed, so it's worth setting rules you're comfortable with.
A little planning makes appointment setting far more useful on day one. Work through these before forwarding your number:
Which services are bookable. List only what you want callers to schedule directly. Anything that needs your judgment — custom quotes, complex jobs — can stay off the bookable list so those callers become messages instead. Also decide how much availability to expose: the receptionist can only book slots you've made available, so keep protected time out of your configured availability.
Forward everything or only when you can't answer. Most owners answer their own phone during the day. Conditional forwarding sends calls only when you don't pick up, while all-call forwarding sends everything. Carrier support for conditional forwarding varies — for example, Verizon mobile offers *71 for unanswered calls, but not every carrier or plan supports conditional forwarding, so check your provider's guide.
