AI phone answering for your business

Appointment Answering Services

An appointment answering service answers your business phone when you cannot, takes down what the caller needs, and books new appointments for you. AllDayDesk is an appointment answering service that answers calls around the clock using your saved business details. You keep your existing phone number by forwarding calls to AllDayDesk, hear a personalized sample before you commit, and see every call, transcript, summary, and booking in your dashboard. New appointments go on the built-in dashboard calendar by default, with an optional Google Calendar connection available in Settings after you authorize your account. This page explains how these services work, what to check before choosing one, and how to set one up.

What an appointment answering service does

When a customer calls and nobody picks up, an appointment answering service answers instead. It greets the caller, asks what they need, answers questions using the business information the owner saved, and either books a new appointment or takes a message. The owner then sees the call record, a transcript, a summary, and any booking in a dashboard.

AllDayDesk does this around the clock using your saved business details. Around-the-clock availability describes when the service is available to answer, not a promise that every single call connects. If the service does not know an answer, a price, or an open time, it takes a message so you can follow up yourself.

  • Answers calls in your business name using details you save
  • Books new appointments once you have set up your services and availability
  • Takes a message when an answer, price, or time is unknown
  • Shows calls, transcripts, summaries, and bookings in a dashboard

How appointment booking works

New appointments are written to the built-in AllDayDesk dashboard calendar by default. Before that can happen, you configure the services you offer and the times you are available. Once that setup is done, the service can offer callers real open slots and confirm bookings.

If you use Google Calendar, you can optionally connect it in Settings. You connect and authorize your Google account yourself; the connection is not automatic. Changes to existing appointments are different from new bookings: a caller asking to move or cancel an existing appointment creates a request for you to review, not a confirmed change.

  • Set up your services and availability first so bookings land on real open times
  • New bookings go to the dashboard calendar by default
  • Google Calendar connection is optional and set up in Settings after you authorize your account
  • Existing appointment changes arrive as requests for you to approve

Keeping your number with call forwarding

You do not need a new phone number. You forward calls from your existing line to AllDayDesk, and the steps depend on your phone carrier or service. Many carriers use star codes, such as *72 plus the destination number to turn forwarding on and *73 to turn it off on Verizon mobile and Verizon business landline. Other providers use different codes or a web portal, so always check the instructions for your exact service.

Some services need extra care. Google Voice, for example, does not support forwarding calls from a Google Voice number to an automated system, so that path is not an option. Conditional forwarding, which only forwards busy or unanswered calls, is a separate feature from unconditional forwarding and is not supported on every line, so confirm with your carrier before relying on it.

  • Verizon mobile: *72 plus the 10-digit destination activates all-call forwarding; *73 disables it
  • Verizon business landline: *72 activates and *73 deactivates from the same line
  • Google Voice does not support forwarding to automated systems
  • Conditional forwarding (busy or no-answer only) must be confirmed with your specific carrier

How to set up AllDayDesk

Setup starts by choosing your business or entering its website so the service can pull in your details. You then check that the information is correct, because the service uses it to answer caller questions. Next, you hear a personalized sample of how your calls would be handled. The sample is a demonstration only and creates no real booking.

After you are satisfied, you choose your phone setup option and follow the forwarding instructions for your carrier. Once calls are forwarded, you can watch calls, transcripts, summaries, and bookings appear in your dashboard.

  • Choose your business or enter its website
  • Check the pulled-in business details
  • Hear a personalized sample (no real booking is made)
  • Choose phone setup and forward your number
  • Review calls and bookings in the dashboard

Transfers and messages

Sometimes a caller needs to reach you directly. AllDayDesk can transfer calls to you, but you must first configure a transfer destination and the rules for when transfers happen. A transfer is not guaranteed to be picked up or answered immediately, so treat transfers as one tool among several, not a promise of instant contact.

When the service does not know an answer, a price, or an available time, it takes a message instead of guessing. You review those messages in the dashboard along with the call transcript and summary.

  • Configure a transfer destination and rules before transfers can happen
  • Pickup or immediate response on a transfer is not guaranteed
  • Unknown answers, prices, or times become messages for you
  • If you answer your own phone during the day, see how overflow coverage handles calls you cannot get to. overflow answering service

How to choose an appointment answering service

Services differ in who answers, when, and at what cost. Human answering services, such as AnswerConnect's 24/7 live answering or Ruby's virtual receptionists, use people; Ruby advertises plans starting at $245 per month as of October 9, 2026, and Smith.ai uses per-call pricing for its human receptionist plans. Those figures are starting points only; you need a current quote to compare real costs, because included minutes, overage rates, hours, and contracts all vary.

AllDayDesk is this site's own product and uses an AI receptionist rather than human agents, with plans shown separately on this page. When comparing any options, look past the headline price: check what triggers charges, whether booking is included or costs extra, how changes to existing appointments are handled, and what happens when the service cannot answer a question. Also compare scope honestly: an in-house receptionist does greeting visitors and office tasks beyond phone work, so a phone service is not a full employee replacement.

This comparison is based on documented features and published pricing pages, not hands-on testing of each service.

  • Ask whether booking is built in or billed separately
  • Check included minutes or calls and overage pricing
  • Confirm how existing appointment changes are handled
  • Ask what happens when a question cannot be answered
  • Compare availability hours against when your customers actually call

More questions, answered

Do I have to change my phone number?

No. You keep your public number and forward calls to AllDayDesk. The forwarding steps depend on your phone carrier, so follow the instructions for your exact service.

Can it book directly into my Google Calendar?

New appointments go to the built-in AllDayDesk dashboard calendar by default. Google Calendar is supported as an optional connection: you connect and authorize your Google account in Settings yourself.

What happens if a caller wants to reschedule?

A request to change an existing appointment is passed to you as a request to review. It is not a confirmed change until you handle it.

Will every call be answered?

AllDayDesk is available to answer around the clock, but that is not a guarantee that every call connects. If a question, price, or time is unknown, the service takes a message instead of guessing.

Can calls be transferred to me?

Yes, once you configure a transfer destination and rules. Pickup or an immediate response is not guaranteed.

Does the sample call book a real appointment?

No. The personalized sample is a demonstration of how your calls would sound and creates no real booking.
