AI phone answering for your business

Company Phone Answering Service

A company phone answering service answers your business line when you're busy, on another call, or away from the phone. With AllDayDesk, callers hear a receptionist that has been taught about your company — your services, hours, and pricing — and it can answer questions, take messages, and book new appointments on a calendar you control. You keep your existing phone number by forwarding calls to the service, and everything the receptionist does shows up in your dashboard: calls, transcripts, summaries, and bookings. Setup starts by entering your business or its website, checking the details it pulled in, hearing a personalized sample call, and then choosing how to connect your phone.

How it works

Set up your business receptionist

01

Add your business

Choose your business or enter its website. Check the services, hours, and details callers need.

02

Hear your receptionist

Listen to a sample for your business and check its answers. The sample does not create a real booking.

03

Connect your phone

Follow the steps for your phone service. Set up booking availability and any call transfers you want to use.

Review calls, messages, and bookings in your dashboard.

What a company phone answering service actually handles

When a call comes in, the receptionist greets the caller in your company's name and uses the business information you saved. That means it can answer routine questions about what you do, your hours, and your services, and it can book new appointments once you've set up your services and availability in the dashboard calendar.

It also knows its limits. If a caller asks something it doesn't have an answer for — an unusual price, a question about a specific job, or a request you haven't described — it takes a message instead of guessing. If a caller wants to change an existing appointment, that goes to you as a request to review, not a confirmed change, so you stay in control of your schedule.

If you configure call transfers, the receptionist can pass certain calls to a destination you choose, following the rules you set. Transfers depend on that setup, and neither that the caller picks up nor an immediate response is guaranteed, so messages remain an important part of the picture.

  • Answers questions using the business details you saved
  • Books new appointments once your services and availability are configured
  • Takes a message when an answer, price, or appointment time is unknown
  • Sends existing-appointment changes to you as requests, not confirmed edits
  • Can transfer calls to a destination you configure, with rules you set
  • For a closer look at how new appointments get scheduled and confirmed, read the appointment booking page. AI appointment booking

How the service learns your company

You don't write scripts or train anything by hand. Setup starts with your business: pick your company or enter its website, and AllDayDesk builds a profile from that information. You then check the details — services, hours, service area, anything callers commonly ask — and correct anything that's off.

Before anything goes live, you hear a personalized sample call based on your own business information, so you know exactly how callers will be greeted and how questions get handled. The sample is a preview only; it doesn't create a real booking or contact anyone.

After that, you choose your phone setup. Most owners answer their own phone, so the service is designed to work alongside you rather than replace a front desk.

  • Enter your business name or website to start
  • Review and correct the details it pulls in
  • Listen to a personalized sample before going live
  • Choose your phone setup as the last step

Keeping your phone number: forwarding by provider

You keep the number your customers already know. Calls reach the answering service through forwarding, and the exact steps depend on who provides your phone service. Some providers use star codes you dial from the phone itself; others use an online portal or app.

A few verified examples: Verizon mobile uses *72 plus the destination for all calls, *71 for unanswered calls, and *73 to turn it off (verizon-wireless). T-Mobile uses **21*1 plus the destination and # for unconditional forwarding, with ##21# to disable (tmobile). On Spectrum Business Voice, forwarding is managed by signing in to SpectrumBusiness.net, choosing your number, and setting the destination in Voice Settings (spectrum-business). Optimum Business Phone uses *72, wait for dial tone, then the destination, with *73 to disable (optimum).

One important exception: Google Voice does not support forwarding calls to an automated system, so a Google Voice number can't be forwarded to AllDayDesk this way (google-voice-routing). If you're unsure what kind of line you have, check your bill or provider's support pages before entering codes — the steps differ between a carrier's wireless, landline, and hosted business products, even from the same company.

  • Verizon mobile: *72 + destination (all calls), *71 (unanswered), *73 to disable
  • T-Mobile: **21*1 + destination + # (all calls), ##21# to disable
  • Optimum Business Phone: *72, wait for dial tone, then destination; *73 to disable
  • Spectrum Business Voice: managed in the SpectrumBusiness.net portal, not by star code
  • Google Voice numbers cannot be forwarded to an automated answering system

Your dashboard: calls, transcripts, and bookings

Everything the receptionist handles is visible in your AllDayDesk dashboard. You can review each call, read transcripts, see summaries of what was discussed, and check bookings that were made.

New appointments go on the built-in AllDayDesk dashboard calendar by default, once you've configured your services and availability. If you prefer, you can optionally connect Google Calendar in Settings after connecting and authorizing your Google account — that's the supported external calendar connection, and it's something you set up yourself, not something that happens automatically.

Because existing-appointment changes arrive as requests, the dashboard doubles as your review queue: you confirm or adjust anything a caller asked to move before it affects your schedule.

  • See calls, transcripts, summaries, and bookings in one place
  • Default calendar is the built-in AllDayDesk dashboard calendar
  • Optional Google Calendar connection in Settings, after you authorize your account
  • Existing-appointment changes appear as requests for you to approve
  • To see how dashboard-based call tools compare to other options, read the call management software guide. Call management software

Choosing between service types

Company answering services generally fall into a few groups, and it's worth knowing the differences before deciding. Human answering services staff calls with people; for example, AnswerConnect advertises 24/7 live answering by people, Ruby lists human virtual receptionist plans starting at $245 per month, and Smith.ai uses per-call pricing for its human receptionist service (answerconnect; ruby; smith). Pricing details like included minutes, overage rates, hours, and contracts vary, so compare current quotes rather than starting prices alone.

AI receptionists answer calls automatically using saved business information. Smith.ai also sells a separate AI receptionist product with its own escalation features, which is distinct from AllDayDesk (smith-ai). An in-house receptionist, by comparison, handles greeting visitors and office tasks beyond the phone, so a phone service isn't a full replacement for that role (bls).

AllDayDesk is this site's own product, and this comparison is based on documented features and published pages rather than hands-on testing. The practical decision usually comes down to call volume, how much of the day you're already unavailable, and whether you want automatic booking on a calendar you control.

  • Human services: real people answer, with plan pricing that varies by provider
  • AI receptionists: automated answering from saved business details
  • In-house reception: broader office duties, not just phone coverage
  • Compare included minutes, overages, and terms on current quotes

Getting started with AllDayDesk

Starting takes a few deliberate steps rather than a single instant switch. First, enter your business or its website so a profile can be built. Second, check the details it gathered and fill in anything missing — this is what the receptionist will say to callers, so accuracy matters. Third, listen to the personalized sample call to hear how your company sounds. Fourth, choose your phone setup and follow the forwarding steps for your provider.

Once you're live, configure your services and availability so new appointments can be booked on the dashboard calendar, and decide whether you want the optional Google Calendar connection. Set up any call transfers with a destination and rules if you want certain calls passed to you.

  • Step 1: enter your business or website
  • Step 2: review and correct the business details
  • Step 3: hear your personalized sample
  • Step 4: choose phone setup and forward your number
  • Step 5: configure services, availability, and any transfers

More questions, answered

Do I have to change my business phone number?

No. You keep your existing number and forward calls to AllDayDesk. The forwarding steps depend on your phone provider, and some providers use an online portal instead of star codes.

Can it book appointments on my Google Calendar?

New appointments go on the built-in AllDayDesk dashboard calendar by default, once you've configured services and availability. Google Calendar is an optional connection you can set up yourself in Settings after connecting and authorizing your Google account.

What happens when the receptionist doesn't know an answer?

It takes a message instead of guessing. You'll see the call, transcript, and summary in your dashboard so you can follow up yourself.

Can callers reach me directly?

If you configure transfers with a destination and rules, certain calls can be passed to you. Pickup and immediate response aren't guaranteed, so message taking remains part of how calls are handled.

Will I hear what the service sounds like before going live?

Yes. During setup you hear a personalized sample based on your own business information. The sample is a preview only and doesn't create a real booking.

Does a Google Voice number work with this?

Google explicitly does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice number can't be forwarded to AllDayDesk. A standard carrier or business phone line is the usual path.
