What an answering service does for a law firm

An answering service covers your firm's main line when you cannot pick up, so a caller reaches a helpful voice instead of voicemail. AllDayDesk answers around the clock using the details you save about your firm, so the caller hears your firm's name and gets consistent information.

The service is not a lawyer and does not give legal advice. It answers questions using your saved business information, takes down what the caller needs, and either books an appointment or takes a message. If a caller asks something the service does not know, such as a fee amount or whether you handle a specific matter, it takes a message so you can respond yourself.

  • Answers your firm's existing number after you forward calls to AllDayDesk
  • Uses your saved firm details to greet callers and answer basic questions
  • Takes messages with caller name, contact information, and reason for the call
  • Books consultations once you have set up services and availability
  • Shows calls, transcripts, summaries, and bookings in your dashboard

Deciding when the service answers

Most firm owners answer their own phone during the day, so think about which calls should reach AllDayDesk and which should ring through to you. Forwarding can be set up as all calls, or in some cases only when your line is busy or unanswered, depending on what your phone provider supports. The instructions depend on your carrier or phone system, so check which service you have before activating anything.

A common approach for a solo attorney is to forward only unanswered calls during office hours and all calls after hours, so you still speak with clients directly when you are available. Another approach is to forward everything and let the service screen and book while you focus on billable work. Either way, you keep your public number, and callers never need to learn a new one.

  • All-call forwarding sends every incoming call to the service
  • Conditional forwarding, where supported, sends only busy or unanswered calls
  • Your existing voicemail is replaced while forwarding is active on all calls
  • You can turn forwarding off with the same carrier controls any time

How to forward your firm's number

Setup starts in AllDayDesk: choose your business or enter its website, review the details it gathered, listen to a personalized sample, and then choose your phone setup option. The forwarding step itself happens with your phone provider, and the exact method depends on who supplies your service.

For example, Verizon mobile lines activate all-call forwarding by dialing *72 plus the 10-digit destination from the phone itself, and *73 turns it off. T-Mobile uses **21*1 followed by the destination and # for unconditional forwarding, with ##21# to disable. Comcast Business Voice is managed by signing in to Spectrum-style online controls — in Comcast's case, My Account or the Comcast Business App — rather than star codes. Vonage Business Communications lets you select Call Forwarding and enable forwarding to a phone number. Always verify the feature with an outside test call after activating, and confirm which product name appears on your bill, because instructions differ even within one carrier's lineup.

One important limit: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so firms on Google Voice should confirm their underlying carrier options instead of relying on the Voice app.

  • Verizon mobile: *72 plus destination to enable, *73 to disable
  • T-Mobile: **21*1 destination # for all calls, ##21# to disable
  • Comcast Business: manage forwarding through My Account or the Business App
  • Vonage Business Communications: enable Call Forwarding to a phone number in settings
  • Google Voice numbers cannot be forwarded to an automated answering system

Messages, consultations, and your dashboard

Calls the service handles appear in your dashboard with the call, a transcript, a summary, and any booking or message content. This gives you a clear picture of who called, what they needed, and what follow-up is required, without listening to voicemails one at a time.

New appointments are booked into the built-in AllDayDesk dashboard calendar by default. Before the service can book consultations, you need to configure your services and availability — for example, which consultation types you offer and when you take new clients. If you prefer to keep scheduling in Google Calendar, you can optionally connect and authorize your Google account in Settings after setup. Existing appointment changes made by callers are requests for you to review, not confirmed changes, so you stay in control of your calendar.

When the service cannot answer a question — an unknown fee, a conflict question, a request for legal advice — it takes a message instead of guessing. That protects your firm from inaccurate information reaching a potential client.

  • Transcripts and summaries for handled calls appear in the dashboard
  • Consultations book into the AllDayDesk dashboard calendar by default
  • Optional Google Calendar connection is available in Settings after you authorize it
  • Appointment changes from callers are requests, not confirmed edits
  • Unknown answers become messages rather than guesses

Choosing between service types for your firm

AllDayDesk is an automated answering service, and this comparison covers documented features rather than hands-on testing. Human virtual receptionist services, such as Ruby (plans advertised from $245 per month as of October 2026) and Smith.ai's live receptionist service (per-call pricing that depends on your selected needs), staff calls with people. Human services vary in hours, included allowances, and fees, so compare current quotes directly. An in-house receptionist, per US Bureau of Labor Statistics occupational data, also covers greeting visitors and office tasks beyond the phone, so it is a broader role rather than a direct substitute.

The practical decision comes down to coverage needs and budget. An automated service answers around the clock at a flat monthly plan with included minutes, while human services charge per call or per minute and may have different coverage windows. Some firms use a mix: an automated service as the first layer and human help for complex intake. Whatever you choose, confirm the provider supports your phone system before committing.

  • Automated service: around-the-clock availability, flat plans with included minutes
  • Human virtual receptionists: people answer, typically priced per call or per minute with higher starting costs
  • In-house receptionist: covers visitors and office tasks, not just phones
  • Compare included minutes, overage rates, hours, and contract terms on any current quote

More questions, answered

Do I have to change my law firm's phone number?

No. You keep your existing public number. You forward calls from that number to AllDayDesk using your phone provider's forwarding controls, and callers dial the same number as always.

Can the service give legal advice or quote my fees?

No. The service answers using the business information you save and does not give legal advice. When a caller asks something unknown, such as a fee or whether you handle a matter, it takes a message so you can respond.

Where do booked consultations go?

New appointments book into the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. You can optionally connect Google Calendar in Settings after authorizing your account.

What happens if a caller wants to reschedule?

Changes to existing appointments are recorded as requests for you to review in your dashboard. They are not confirmed changes until you accept them.

My firm uses Google Voice. Can I forward to AllDayDesk?

Google does not support forwarding calls from a Google Voice number to an automated system. Check what forwarding options your underlying carrier offers instead of using the Voice app.

Can the service transfer urgent calls to me?

Transfers are possible once you configure a transfer destination and rules for when they apply. A pickup or immediate response is not guaranteed, so important callers may still need a callback from you.
