AI phone answering for your business
A virtual answering service answers your business phone when you cannot, without hiring an in-house receptionist. You keep your existing number and forward calls to the service, which greets callers using your business details, answers common questions, takes messages, and can book appointments. For a small business where the owner usually answers the phone themselves, this covers calls during jobs, after hours, or while you are on another line. This page explains what these services do, how forwarding works, and how to choose one.

How it works
Choose your business or enter its website. Check the services, hours, and details callers need.
Listen to a sample for your business and check its answers. The sample does not create a real booking.
Follow the steps for your phone service. Set up booking availability and any call transfers you want to use.
Review calls, messages, and bookings in your dashboard.
If you run a small business where you answer the phone yourself, the line goes to voicemail whenever you are on a job, driving, or closed. A virtual answering service covers those gaps. The caller reaches a receptionist voice that knows your business name, services, hours, and pricing, so the call feels like it reached your office.
The service handles the routine work: greeting callers, answering questions from your saved business information, taking detailed messages, and booking new appointments. Anything it cannot answer confidently, such as a price for unusual work or a request to change an existing appointment, becomes a message request for you rather than a guess.
AllDayDesk uses an AI receptionist instead of human agents. You keep your public phone number by forwarding calls to the service, so callers dial the same number they always have.
You do not change your phone number. You turn on call forwarding with your phone provider so calls ring to the answering service. The exact steps depend on who provides your phone service, so identify your exact product first, because even one carrier can use different instructions for wireless, landline, and hosted business products.
Some providers use star codes. For example, Verizon mobile uses *72 plus the destination for all-call forwarding and *73 to turn it off, while T-Mobile uses **21*1 plus the destination and # for unconditional forwarding. Other providers, such as Spectrum Business Voice or Vonage Business Communications, manage forwarding through an online portal or app instead. If your provider does not support the forwarding type you need, the alternative is usually forwarding all calls during the hours you want covered, or checking with the provider's support team for your specific plan.
One important limit: Google Voice explicitly does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice line is not a compatible path to AllDayDesk.

Services differ in who answers, when they answer, and what they can do after the call. Human services, such as Ruby or AnswerConnect, staff calls with trained agents. AI services like AllDayDesk use software trained on your business details. Cost structures differ between the two, so compare current quotes directly; for example, Ruby advertises plans starting at $245 per month as of October 2026, and you should verify included allowances and contract terms on any quote. AllDayDesk pricing is displayed separately on this page.
Beyond price, compare what happens after the greeting. Can the service book appointments, or only take messages? Do you get transcripts and summaries? Where do bookings land, and does it connect to a calendar you already use? AllDayDesk books into its built-in dashboard calendar by default and optionally connects to Google Calendar after you authorize your account in Settings. It does not connect to other third-party calendars or industry scheduling software.
Also weigh scope honestly. An answering service covers phone work; it does not replace a full in-house receptionist, whose duties include greeting visitors and office tasks. And around-the-clock availability describes when the service is available, not a guarantee that every single call connects.

Setup starts by choosing your business or entering its website. AllDayDesk reviews the details it finds, you check that the information is correct, and then you hear a personalized sample call so you know exactly how your receptionist will sound. The sample is a demonstration only and creates no real booking. Once you are satisfied, you choose your phone setup and forward your number using your provider's instructions.
Before appointment booking goes live, configure your services and availability in the dashboard. New appointments are added to the built-in AllDayDesk calendar by default. If you prefer Google Calendar, connect and authorize your Google account in Settings; this is optional and not automatic.
After calls start coming in, everything is visible in your dashboard: each call, its transcript, a summary, and any bookings. Requests to change existing appointments come to you as requests, not confirmed changes, so you stay in control of your schedule. If you want calls handed to you directly, configure a transfer destination and rules in advance; transfers depend on that configuration, and neither pickup nor an immediate response is guaranteed.
A virtual answering service fits small businesses where the owner is the phone answerer and cannot always pick up: contractors on job sites, solo practitioners, salons, and anyone whose work takes them away from the desk. It also fits owners who want after-hours coverage without hiring evening staff.
It may be less of a fit if you need someone to greet walk-in visitors, handle office paperwork, or perform tasks beyond phone work. In that case, an in-house receptionist covers a broader role, at a higher cost. Some owners use both: staff during open hours and a virtual service for overflow and after hours.
