Think of a virtual reception desk as the front desk of your office that happens to be somewhere else. When a caller dials your business number, the desk answers in your business name, using the details you have saved: your services, hours, location, and pricing you choose to share.
The desk can answer common questions, take a message when it does not know an answer or a price, and book new appointments. For appointments, it uses the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. If you prefer, you can optionally connect Google Calendar in Settings after connecting and authorizing your account.
It is important to know the limits. If a caller asks something the desk does not have an answer for, it takes a message instead of guessing. Changes to existing appointments are sent to you as requests, not confirmed changes, so you stay in control of your schedule. Transfers to you require you to configure a destination and rules, and a transfer is not guaranteed to connect or get an immediate response.
A virtual reception desk fits owners who handle their own phone most of the time but cannot always pick up: solo tradespeople on job sites, small clinics and salons with a busy front counter, and offices where the person answering also has other work. It is not a replacement for an in-house receptionist's full job — in-house reception includes greeting visitors and office tasks beyond phone answering, so compare scope rather than treating a phone service as a full employee replacement.
It also differs from a human answering service. Human services employ people to answer your calls and typically price by minute, by call, or by monthly plan, and their coverage hours and fees vary by service and plan. With AllDayDesk, setup starts by choosing your business or entering its website. The desk pulls in your business details, and you check them for accuracy — this is what callers will hear, so fix anything wrong before moving on.
Next, you hear a personalized sample of how your desk will sound. This sample is a preview only; it does not create a real booking. If you like what you hear, the last step is choosing your phone setup.
You keep your public number by forwarding calls to the service. The exact instructions depend on your phone provider, so check which service you actually have before entering any codes. For example, Verizon mobile uses *72 plus the destination for all calls and *71 for unanswered calls, while Verizon business landline uses *72 and *73 to turn forwarding off. T-Mobile uses **21*1 with the destination for unconditional forwarding. Comcast Business features are managed through My Account or the Comcast Business App and depend on which services you subscribe to. Spectrum Business Voice forwarding is set in the online portal under Voice Settings or Forwarding Manager, where you choose all calls or busy/no-answer.
One important exception: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so that path is not a way to connect.

Once your desk is live, the dashboard is your window into it. Every call shows up there with a transcript and a summary, along with any bookings and messages. You do not need to call in to check voicemail — you read what happened and decide what needs a callback.
New appointments land on the built-in dashboard calendar once you have entered your services and availability. If you want them on Google Calendar instead, connect and authorize your Google account in Settings; that connection is optional and set up by you.
If a caller wants to move an existing appointment, the desk records the request for you rather than changing the calendar itself. You confirm or decline it, which keeps accidental cancellations off your schedule.
Ask yourself three questions. First, what share of your calls are routine — hours, directions, pricing you are willing to share, and new bookings? The more routine the calls, the better an automated desk fits. Second, do you need human judgment on every call, for example detailed intake conversations? Human services exist for that, and their fees and coverage hours vary by service and plan. Third, how do you want to work? Also be honest about coverage. Around-the-clock availability means the desk is available to answer whenever a call comes in, but it is not a guarantee that every call connects, and a configured transfer is not guaranteed to be picked up.
