AI phone answering for your business

Virtual Telephone Receptionist

A virtual telephone receptionist answers your business phone when you can't, without hiring someone to sit at a desk. Calls are handled by a remote service: it greets callers, answers questions using information you provide, takes messages, and can book appointments. With AllDayDesk, you keep your existing phone number by forwarding calls to the service, and you can read every call, transcript, summary, and booking in your dashboard. This page explains how a virtual telephone receptionist works, what to look for when comparing options, and how to set one up for your own business.

How it works

Set up your business receptionist

01

Add your business

Choose your business or enter its website. Check the services, hours, and details callers need.

02

Hear your receptionist

Listen to a sample for your business and check its answers. The sample does not create a real booking.

03

Connect your phone

Follow the steps for your phone service. Set up booking availability and any call transfers you want to use.

Review calls, messages, and bookings in your dashboard.

How a Virtual Telephone Receptionist Works

The idea is simple. Instead of a phone ringing at your shop, truck, or home office and going to voicemail, calls are forwarded to a receptionist service. The receptionist answers in your business's name, using details you have saved: your services, hours, prices you choose to share, and how you handle appointments.

With AllDayDesk, setup starts by choosing your business or entering its website so the service can pull in your details. You check those details, hear a personalized sample of how your calls would be answered, and then choose how to connect your phone. The sample is a demonstration only, so nothing from it creates a real booking.

You keep your public phone number. Calls are routed to AllDayDesk through forwarding, and the instructions for that depend on your phone provider. After that, calls, transcripts, summaries, and any bookings show up in your dashboard so you always know who called and why.

  • You keep your existing business number; forwarding sends calls to the service.
  • The receptionist answers using your saved business information.
  • When an answer, price, or appointment time is unknown, the caller is asked to leave a message instead of getting a guess.
  • Every call, transcript, summary, and booking is visible in your dashboard.
  • New appointments go on the built-in AllDayDesk calendar by default, once you have set up your services and availability.

Connecting Your Phone Number

The main technical step is forwarding. How you turn it on depends entirely on your phone service, so check which product you actually have before following any instructions. A wireless plan, a business landline, and a hosted voice platform all use different steps.

Some verified examples: Verizon mobile uses *72 plus the destination number for all-call forwarding and *71 for unanswered calls, with *73 to turn it off. T-Mobile uses **21*1 followed by the number and # for unconditional forwarding. Spectrum Business Voice manages forwarding through the SpectrumBusiness.net portal rather than star codes. Vonage Business Communications has a Call Forwarding setting where you enable forwarding to a phone number.

One important limit: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so that path will not work. If your provider's forwarding options are unclear, contact their support and ask specifically whether your plan supports forwarding to an outside number.

  • Identify your exact service (for example, AT&T Phone for Business vs. AT&T Collaborate) because the codes differ.
  • Forwarding can be all calls, or in some cases only busy or unanswered calls.
  • Test the destination with a real call from another phone after activating.
  • Forwarding usually replaces your voicemail while it is active, so turn it off with the disable code when you want calls back.

Appointments, Messages, and Calendar Options

A good virtual telephone receptionist does more than take down a name and number. AllDayDesk can book new appointments once you have configured your services and availability in the dashboard. By default, those bookings land on the built-in AllDayDesk calendar.

If you already run your schedule in Google Calendar, you can optionally connect it in Settings after authorizing your Google account. That connection is optional and set up by you; other calendar tools and industry scheduling software are not part of the service.

Changes to existing appointments work differently from new bookings. A caller asking to move or cancel an existing appointment generates a request for you to review, not a confirmed change. That keeps you in control of your schedule.

Transfers to you are also available, but you must configure a destination number and rules first, and neither pickup nor an immediate response is guaranteed. When the receptionist cannot answer something, it takes a message so the caller is not left with a wrong answer.

  • New appointments book onto the AllDayDesk calendar by default.
  • Google Calendar can be connected optionally in Settings after you authorize the account.
  • Existing appointment changes are requests for you, not automatic changes.
  • Transfers require you to set a destination and rules in advance.

Comparing Virtual Telephone Receptionist Options

Not all services work the same way, and the differences matter for your budget and your callers. This comparison is based on each provider's documented features, not hands-on testing, and AllDayDesk is this site's own product.

Human virtual receptionist services, such as Ruby, AnswerConnect, and Smith.ai's live receptionist plans, put real people on your calls. Ruby advertises plans starting at $245 per month as of October 2026; Smith.ai prices its live service per call. Starting prices are not complete comparisons, so ask about included minutes or calls, overage charges, covered hours, and contract terms before signing.

AI-based receptionists, including AllDayDesk and Smith.ai's separate AI receptionist product, answer calls automatically around the clock. Human coverage and fees vary by service and plan, so a human service is not automatically more expensive or limited to business hours, but the pricing models usually differ from per-minute AI plans.

Also compare scope. An in-house receptionist, per US Bureau of Labor Statistics occupation data, greets visitors and handles office tasks beyond the phone, so a phone service is not a full replacement for that role.

  • Human services: real people, typically priced monthly or per call; verify allowances and hours on a current quote.
  • AI services: automated answering around the clock, usually priced by included minutes plus overages.
  • Ask every provider: what happens when the receptionist can't answer a question, and how are bookings recorded?
  • Check whether the service supports your phone provider's forwarding method before committing.

Who a Virtual Telephone Receptionist Fits

Most owners answer their own phone, which means calls go unanswered whenever they are on a job, with a customer, or simply closed for the day. A virtual telephone receptionist covers those gaps without adding payroll.

It tends to fit solo operators and small teams in trades and service businesses: plumbers, HVAC contractors, electricians, salons, law offices, dental practices, and similar businesses where a missed call often means a missed job. If your calls involve emergency dispatch, medical triage, or legally sensitive intake, check carefully whether a given service's scope matches those needs before relying on it.

If you only need coverage during specific situations, like when you are already on a call, an overflow arrangement may be enough. If you want calls handled at any hour, a 24/7 setup is the better fit.

  • Solo owners who can't pick up while working benefit most.
  • Businesses with appointment-heavy schedules get the most value from booking features.
  • If you need only busy-time coverage, look at overflow options instead of full-time forwarding.

Getting Started with AllDayDesk

Setting up AllDayDesk follows the same path described above: choose your business or enter its website, review the details it pulled in, listen to a personalized sample of how your calls would sound, and then pick your phone setup option. The sample creates no real booking, so you can evaluate it freely.

Before going live, make sure your services and availability are configured in the dashboard so new appointments can be booked correctly. Then activate forwarding using your provider's instructions and place a test call from another phone to confirm calls reach the service.

  • Step 1: Choose your business or enter its website.
  • Step 2: Check the business details the service found.
  • Step 3: Hear a personalized sample of your receptionist.
  • Step 4: Choose your phone setup and activate forwarding with your provider.
  • Step 5: Configure services and availability so bookings work.

More questions, answered

Do I have to change my business phone number?

No. You keep your public number and forward calls to AllDayDesk. The forwarding steps depend on your phone provider, so check which service you have before activating.

Can it book appointments directly into my Google Calendar?

New appointments go on the built-in AllDayDesk calendar by default. Google Calendar can be connected optionally in Settings after you connect and authorize your Google account. Other calendar tools and industry scheduling software are not supported connections.

What happens when a caller asks something the receptionist doesn't know?

When an answer, price, or appointment is unknown, the receptionist takes a message instead of guessing. You see the message, transcript, and summary in your dashboard.

Can callers be transferred to me?

Yes, but you must configure a transfer destination and rules first. Neither pickup nor an immediate response is guaranteed, so transfers are one tool among several, not a promise.

Does it work with Google Voice?

Google does not support forwarding calls from a Google Voice number to an automated system, so that forwarding path is not available. You would need a phone line from a provider whose forwarding works with outside services.

How much does a virtual telephone receptionist cost?

Pricing varies widely. Human services often charge monthly or per call, while AI services usually charge by included minutes plus overages. AllDayDesk plan pricing is displayed separately on this page, and you should always verify included allowances and overage rates before choosing.
